Job description

The City of Wood Dale is seeking a full-time Executive Assistant. This is a highly skilled and responsible position within the Police Department. This critical role requires a detail-oriented professional who thrives in a dynamic environment, can manage confidential information with discretion, and is skilled at juggling a wide range of responsibilities—from payroll and records management to public engagement and event coordination.

Key Responsibilities:

  • Provide administrative and clerical support to the Chief of Police and the Police Department staff;
  • Draft and distribute memoranda, reports, agendas, minutes, and other documents;
  • Organize and oversee events such as National Night Out, Senior Luncheons, Shop with a Cop, etc.
  • Order and manage supplies, promotional materials, plaques, awards, and uniforms
  • Handle community outreach efforts including newsletters, public recognition, and photo coordination
  • Support the Board of Police Commissioners in recruitment, testing, and promotion processes

The successful candidate must possess strong organizational skills and the ability to multi-task in a busy office environment. Excellent written and oral communication skills, proficiency with Microsoft Office Suite, the ability to operate office equipment, and the ability to keep confidentiality are essential. This position must establish and maintain effective working relationships while performing the essential job functions outlined in the job description to provide a high level of customer service.

Associate’s Degree from an accredited institution with a minimum of 2-5 years of related experience required; experience in municipal government preferred. Experience and/or training in event planning a plus.

The salary range is $61,448 – $89,761 DOQ. Excellent benefits include Illinois Municipal Retirement Fund; paid vacation and sick leave accrual; medical, dental, vision, and life insurance. This position is open until filled.
