Job summary

Company Confidential, based in Portland, Maine, seeks a Chief Administrative Officer to lead human resources, people operations, and administrative governance as the company scales to service regulated healthcare and financial services clients.

The CAO partners with the President and CEO, oversees HR strategy, benefits, and HRIS, and drives cross-functional alignment across technology, client services, and accounting, ensuring compliance and disciplined execution.

Qualifications

10+ years of progressive leadership experience spanning finance and general management.
Demonstrated track record as CFO for a small to mid-sized company or senior financial leader.
Experience in regulated industries (healthcare/financial services) is a strong plus.
Experience coaching and aligning cross-functional leaders without formal line authority.
Strong HR practices and knowledge of employment law.

Responsibilities

Own HR strategy, policy, and programs: recruiting support, onboarding, performance management, compensation administration, and employee relations.
Ensure compliance with federal, Maine, and multi-state employment laws.
Partner with department leaders on workforce planning and organizational design.
Oversee benefits administration, broker relationships, and annual open enrollment.
Own HRIS and related people-systems administration.
Oversee non-production vendor relationships and procurement processes.
Standardize administrative processes and reporting across the company.
Identify and lead process-improvement initiatives as the company scales.
Serve as executive partner to the President and CEO on organizational matters.
