Job summary

Katz Melinger PLLC is seeking a Chief Operating Officer to run the firm's operations so the Managing Partner can focus on strategy and legal work. This is a senior role with end-to-end responsibility for operations, staffing, and process optimization, including financial reporting and KPIs.

Salary: $150,000 - 175,000 annually, depending on experience

Location: Remote within the United States

We are a plaintiff’s employment and commercial litigation and collections firm that is dedicated to helping individuals and companies recover what is rightfully theirs and protecting the rights of employees and individuals throughout New York and New Jersey. Our attorneys represent clients in matters involving commercial disputes, enforcement of judgments and employees in workplace discrimination, wage and hour violations, retaliation, and wrongful termination.

We are seeking a Chief Operating Officer to run the business of the firm so the Managing Partner can focus on strategy, business development, and the firm's most important legal work. This is a senior role from day one. You'll own operations end to end, build the management structure the firm needs, and hold the team to it. You'll be the Managing Partner's operating counterpart, with the authority to make day-to-day decisions and the judgment to know which ones need to go up. Responsibilities will Include:

Operations and management

• Run the firm's day-to-day operations and keep the Managing Partner informed without pulling him into the details
• Lead and manage the support, intake, sales, billing, and administrative staff, including performance management, development, hiring, and onboarding
• Work with the practice leads to set up and run legal pods, each with clear management responsibility and its own KPIs and revenue goals
• Work closely with the Managing Partner to implement his vision at the firm
• Set the meeting cadences and reporting lines that get decisions made at the right level

Case flow

• Own the case workflow across Airtable, CosmoLex, and the firm's in-house dashboards. Keep matters moving through their stages and catch stalls early
• Track turnaround against stage-level targets and act on what slows down
• Make sure SOPs are current, followed, and improved, not just written down

Intake and sales

• Own intake and sales functions including quality, follow-through, script, and conversion

Finance and reporting

• Build and own the firm's KPIs and report them to leadership through a weekly operational dashboard and a monthly KPI and financial review
• Oversee the billing cycle and work with the billing clerk, outside bookkeepers, and CPA to keep financial and operational reporting current and reliable
• Support cash-flow and pipeline forecasting, including settlement timing on contingency matters

Systems and vendors

• Manage the firm's technology and outside vendors, and drive practical improvements to the tools the firm already uses

Requirements:

• 7+ years of law firm operations experience, including time in a senior role (COO, Director of Operations, Firm Administrator, or equivalent)
• Experience building management in a growing firm and holding people accountable
• Strong with numbers: KPIs, billing, and financial reporting, and comfortable working alongside bookkeepers and accountants
• Very comfortable with systems and data: case management, workflow tools, and dashboards
• A direct communicator who can be trusted with confidential matters and follow through

Bonus:

• Experience at a litigation firm, especially in contingency-fee and/or employment law
• Experience with Airtable and CosmoLex, or extensive use with similar tools
• Exposure to commercial (non-consumer) collections
• Experience managing remote and offshore team members
