Job summary

Qualifications

  • Bachelor degree; MBA/MHA preferred or proven work experience in healthcare leadership.
  • At least 5 years in a senior operational leadership role with responsibility for multi-site physician practice operations.
  • A minimum of 10 years' progressive healthcare leadership experience.
  • Leadership experience focusing on staff development, mentoring and training to improve performance and retention.
  • Experience with project management, breaking down large projects into components with deadlines.

Responsibilities

  • Oversee all WWMG care sites, IT Services, HR, and Marketing.
  • Partner with CEO, CFO and physician leaders to drive growth, quality outcomes, and financial performance.
  • Manage provider productivity and schedule utilization; set productivity goals and standardized schedules.
  • Monitor care center financials, identify trends, and report to the Board with actionable recommendations.
  • Standardize care delivery, control costs, and drive growth planning and facilities improvements.
  • Lead organizational projects, report progress to Executive Committee and Board.
  • Collaborate on strategic initiatives and business development for profitable growth.
  • Develop operational plans that support organizational growth and objectives.

Job Overview

The Chief Operating Officer is a demonstrated leader who works best in a team environment, driving results. Primary responsibilities are leadership and oversight of Western Washington Medical Group (WWMG) care centers, partnering with the Admin Team and Care Center Managers on operations processes, and financials, and to ensure effective, quality service and high satisfaction. This job description reflects the essential functions; it does not prescribe or restrict other tasks that may be assigned.

Essential Job Functions:
  • Provide direct oversight of, and responsibility for all WWMG care sites, IT Services, HR, and Marketing.
  • The COO will partner with the CEO, CFO, and physician leaders to drive sustainable growth, physician engagement, quality outcomes, value-based care, and financial performance across the organization
  • Responsible for effective business operations with a focus on provider productivity and schedule utilization. Focus on coding, charting, setting productivity goals, training, and promoting full, standardized schedules across all sites.
  • Responsible for monitoring care center financials (profits and losses) with the ability to identify and report undesirable trends and make recommendations for action.
  • Assuring consistent, high quality performance for all sites and standardizing delivery of care processes where applicable.
  • Responsible for cost-containment and revenue generation success, reporting regularly to the Board, delivering insights on performance trends, strategy, and organizational risk, responsible for facilities maintenance, improvements, security, and growth planning/ buildout.
  • Oversee organizational projects and keep the Executive Committee and Board apprised of progress.
  • Partnering with the Chief Executive Officer/ Administration on strategic initiatives and business development for the organization and profitable growth within current sites.
  • Develop operational plans that support organizational growth and organizational objectives.
  • Collaborate with physician leaders to align operational and clinical priorities.
  • Work closely with the CFO to develop and implement annual budgets, and hold operational leaders accountable for achieving targets.
  • Ability to create and monitor dashboards and metrics on referral rates, coding, productivity, and expenses and to partner with the managers to develop strategies for improvement.
  • Ability to communicate effectively with all stakeholders including but not limited to: Admin Team, Quality Programs Team, Imaging, specialty practices, and external patients and business partners.
  • Establish and maintain annual budgets for IT Services, Imaging Center, and all other corporate owned care/cost centers.
  • Champion project management and change management, and lead organizational initiatives and projects as executive sponsor and project lead.
Professional Qualifications:
  • Bachelor Degree in a relevant field of study. Candidates preferred with relevant advanced degrees (e.g. MBA, MHA, etc.) or proven work experience in healthcare management/leadership.
  • Minimum 5 years in a senior operational leadership role with responsibility for multi-site physician practice operations.
  • A minimum ten years' of progressive health care leadership and management experience.
  • Leadership experience that focuses on staff development, specifically mentoring, training and developing staff and colleagues to increase performance and retention.
  • Experience with project management, breaking down large projects into key components and tasks, assigning achievable goals and deadlines.
Skills:
  • Moderate to advanced financial modeling and IT skills.
  • Experience in implementing benchmarks and performance measures.
  • Strong analytic, problem solving and critical thinking skills.
  • Outstanding written and verbal communication.
  • Strong, demonstrated interest and competency in operational aspects of physician practices.
Working Conditions

Works inside under normal temperature conditions, with adequate light, ventilation and space. Works mostly with others, occasionally alone. Must expect moderate noise generated from computer printer, office machinery and talking. Must be able to work in a small or confined office space. Interaction is busy, constant and occasionally interrupted. Stress levels may be high. Attend business-related meetings outside of the office. Requires ability to have personal transportation.

Physical Demands:

Must be able to tolerate intermittent physical activity, including sitting, walking, standing, stooping, carrying, bending, talking and use of hands to finger, handle or feel. The degree to which any of these is done depends on the techniques being used. Must have sufficient freedom of total body movement in order to stand up and sit down at a workstation, be able to squat and/or stoop in order to lift at least 25-pounds. Must possess the physical traits to remain sedentary for most of the day and must be able to reach for items above shoulder height.
