With rapid expansion ahead, we're seeking a highly experienced Chief of Staff to support our Co-Founder & Chief Operating Officer (COO).

This isn't a typical assistant role - we're looking for a strategic partner. You'll be at the center of key decisions, providing operational support, streamlining processes, and ensuring the COO's time is used effectively. If you've supported executives through significant growth, managed cross-functional projects, and thrived in fast-paced environments, this is your opportunity to contribute at a high level.

The Role

We're looking for a Chief of Staff who thrives in ambiguity, moves fast, and brings clarity to chaos. This role blends strategic operations, project leadership, and executive support into one high-impact position. While you'll handle essential EA tasks like calendar and inbox management, your primary focus will be driving execution, leading operational improvements, and enabling high-level decision-making.

You'll serve as a thought partner to the COO - helping to run the business behind the scenes while the executive team focuses on growth.

Key Responsibilities

Executive Support & Calendar Management

  • Provide comprehensive administrative support to the COO.
  • Manage a dynamic calendar across multiple time zones.
  • Anticipate conflicts and resolve scheduling challenges.
  • Prepare detailed agendas and meeting materials.
  • Attend select meetings to capture key action items and follow-ups.

Operational Support & SOP Management

  • Develop, refine, and maintain Standard Operating Procedures (SOPs).
  • Conduct regular SOP audits to identify areas for optimization.
  • Implement process improvements across departments.
  • Ensure the team follows updated procedures for operational excellence.

Audit & Quality Control

  • Perform routine SOP audits to ensure process compliance and efficiency.
  • Review client-facing calls to assess service quality and gather insights.
  • Provide feedback and recommendations for improvement. (Full training provided)

AI Utilization & Continuous Learning

  • Leverage AI tools to automate workflows and enhance productivity.
  • Develop and maintain custom GPTs tailored to internal processes.
  • Continuously research new AI applications to optimize executive operations.
  • Act as a thought leader for AI integration within the organization.

Marketing & Creative Support

  • Collaborate with the marketing team to provide copy and design tweaks.
  • Review marketing campaigns and creatives to ensure brand alignment.
  • Provide actionable feedback on copywriting, tone, and visual consistency.
  • Ensure marketing materials reflect TCC's voice and value proposition.

Project Management

  • Collaborate with cross-functional teams to ensure the timely execution of initiatives.
  • Track project progress, flag issues, and ensure accountability.
  • Support operational and strategic projects led by the COO.

Research & Decision Support

  • Conduct thorough research on competitors, vendors, and technologies.
  • Present concise insights and recommendations to support decision-making.
  • Evaluate potential partnerships, tools, or platforms to improve efficiency.

What We're Looking For

Proven Experience: At least 5+ years supporting C-suite executives in high-growth companies, preferably in operations, marketing, or tech.

Operational Excellence: Experience managing SOPs, improving workflows, and conducting operational audits.

AI Proficiency: Strong understanding of AI applications with experience using and creating custom GPTs or AI-driven tools to optimize operations.

Marketing Background: Experience in reviewing and providing feedback on marketing copy and designs, ensuring brand consistency.

Highly Proactive: You stay three steps ahead and solve problems before they escalate.

Resourceful & Independent: Comfortable making decisions, taking ownership, and managing complex projects.

Strategic Thinker: Able to analyze data, provide insights, and support key decision-making.

Excellent Communicator: Strong verbal and written communication skills, with the ability to represent the COO effectively.

Time Zone Alignment: Preferred time zones are EST, CST, or MST to ensure strong collaboration with the COO.
