Responsibilities

Operations Manager & Chief of Staff to the President

Seeking an experienced, highly organized Operations Manager & Chief of Staff to serve as the operational backbone of a fast-paced marketing and communications agency focused exclusively on the capital markets. This dual-role position will oversee day-to-day operations while serving as the President’s trusted partner, managing priorities, client engagements, and execution across the firm.

Key Responsibilities
Operations Management
  • Manage vendor relationships, contracts, and operational budgets.
  • Coordinate onboarding logistics, including equipment, access, and workspace readiness.
  • Develop and maintain SOPs and processes to improve operational efficiency.
Chief of Staff / Executive Support
  • Manage the President’s calendar, priorities, weekly workflow, and travel logistics.
  • Track 10–15 concurrent client engagements, monitoring deadlines, deliverables, and project status.
  • Prepare meeting agendas, briefing materials, status reports, and executive summaries.
  • Act as an extension of the President, driving accountability, resolving blockers, and ensuring follow-through.
  • Proactively identify risks, dependencies, and opportunities across the client portfolio.
Client & Project Coordination
  • Support client meetings, calls, and presentations alongside or on behalf of the President.
  • Manage client scheduling, communications, follow-ups, and deliverable workflows.
  • Coordinate internal teams and external stakeholders across marketing and PR initiatives.
  • Develop familiarity with clients’ capital markets, investor relations, and communications objectives.
AI & Technology
  • Serve as the internal leader for the firm’s AI and productivity tools, particularly Claude and Notion.
  • Build and optimize AI-powered workflows for research, content creation, reporting, and operations.
  • Manage Notion databases, project tracking, SOPs, and team documentation.
  • Help develop the firm’s proprietary communications dashboard and evaluate new AI technologies.
  • Establish best practices and adoption guidelines for emerging tools.
Qualifications
  • 2–5+ years of experience in operations, chief of staff, or senior executive support.
  • Proven ability to manage multiple concurrent projects and priorities in a fast-paced environment.
  • Exceptional written and verbal communication skills and strong attention to detail.
  • Experience managing vendors, budgets, and operational processes.
  • Highly proactive, resourceful, and comfortable operating with ambiguity.
Compensation & Structure
  • Competitive base salary + performance bonus
