The Chapter Coordinator provides essential administrative and operational support for the chapter’s day-to-day activities. This role helps ensure that financial processes, data and systems, membership administration, event logistics, marketing support, committee coordination, and internal workflows are accurate, timely, and well organized. The Chapter Coordinator works closely with chapter staff, volunteer leaders, members, sponsors, speakers, and vendors to deliver a high level of service and maintain operational continuity.
Primary Responsibilities
Event Operations
- Support the planning and execution of chapter programs and meetings, conferences, workshops, and social events.
- Manage event setup and registration administration, including payment processing, attendee lists, badges, program materials, and pre and post event reports.
- Coordinate event communications and logistics with attendees, speakers, sponsors, venues, vendors, staff, and volunteers.
- Provide onsite or virtual event support, including setup, registration, troubleshooting, and follow-up.
Membership Support
- Process membership applications, renewals, and other transactions accurately and promptly.
- Respond professionally to member and prospective-member questions and requests, escalating issues when appropriate.
- Support membership recruitment, onboarding, engagement, and retention efforts in partnership with staff and volunteer leaders.
- Prepare membership lists and reports to support outreach and decision-making.
Data & Systems Management
- Maintain accurate member, registration, sponsor, and event records in the association management system, CRM, and related platforms.
- Perform routine data-quality reviews and coordinate corrections or updates as needed.
- Generate membership, event, financial, and operational reports for staff, leadership, and committees.
- Maintain project timelines, master calendars, and deliverable tracking through established project management tools.
Marketing & Communications Support
- Assist with event email setup, list management, scheduling, deployment, and post-event communication.
- Update chapter website content and support routine social media activity in accordance with chapter priorities and brand standards.
- Draft, edit, proofread, and distribute chapter correspondence, announcements, and other communications.
- Coordinate with staff and headquarters colleagues to ensure information is accurate, timely, and consistent.
Board & Committee Management
- Provide administrative support to the board, POD leaders, committee chairs, committees, and task forces.
- Coordinate meetings and materials, take minutes when requested, maintain committee communications, and track action items.
- Support chapter staff initiatives and provide cross-team coverage as priorities require.
- Build effective working relationships and manage expectations across staff, volunteers, members, sponsors, vendors, and other stakeholders.
Financial & Administrative Operations
- Process invoices, payments, sponsorship billing, expense documentation, and other routine financial transactions.
- Track budgets, reconcile event financials, and maintain accurate financial records and supporting documentation.
- Coordinate general administrative functions, including calendars, meetings, supplies, vendors, files, and records.
- Maintain clear documentation and repeatable processes to support consistency and business continuity.
Qualifications
- Bachelor’s degree or an equivalent combination of relevant education and experience.
- Three or more years of experience in administration, operations, association management, event support, membership services, or a related field.
- Strong organizational and planning skills, with the ability to manage multiple assignments, priorities, and deadlines.
- Excellent written and verbal communication skills and a professional, service-focused approach.
- Proficiency with Microsoft Office or Microsoft 365 applications and experience with database, AMS, CRM, or event-management systems.
- Strong attention to detail and a consistent commitment to accuracy.
- Ability to work independently, exercise sound judgment, and collaborate effectively with colleagues and volunteer leaders.
- Dependability, adaptability, discretion, and willingness to learn new systems and processes.
- Availability to support occasional early-morning or evening events and limited travel, as required by the chapter.

Salary range is $55,000.00 - $60,000.00.
