POSITION SUMMARY: We have an exciting opportunity to join our team as a Office Coordinator. The mission of Real Estate Development and Facilities (RED+F) Department is to plan, develop, operate and maintain the campus of the NYU Langone Medical Center and provide the foundation for its growth and success in the 21st century. RED+F provides strategic campus planning and project development services, including architectural studies, programming, design, construction and associated infrastructure and technological upgrades, for new structures and renovations to existing structures on the NYU Langone Medical Center campus.The Department also operates and manages all facilities, infrastructure and related support services across the medical center.RED+F is composed of the Real Estate, Housing, Planning & Project Development, Facilities Operations & Management, Finance & Administration, Campus Security, Environmental Services, Environmental Health & Safety, Radiation Safety and Clinical Engineering divisions.Position Summary: Reporting to the Office Manager, the Office Supervisor is responsible for overseeing the management of the RED+F office on a day-to-day basis, support staff services, as well as ensuring organizational effectiveness, providing management and strategic support in the areas of human resources, staff training and development, and general office management. Working with the management team, the position contributes in the implementation of departmental strategies, policies and practices. This position interacts with management and constituents of the Medical Center, internal Departments and external vendors and/or consultants.Primary responsibilities include:

JOB RESPONSIBILITIES:

  • Responsible for the administrative oversight of the front desk operations of our office locations (Berkley Park, One Park Ave, 475 Park Ave, 323E 29Str) ensures appropriate staffing and support.
  • Perform other duties as assigned.
  • Handle maintenance and purchasing of office equipment and supplies inventory.
  • Maintain oversight of the calendar management for members of Senior Management.
  • Assure that new support staff members understand the mission and functioning of RED+F and are trained in applicable Medical Center and RED+F policies, procedures, and practices and that they receive refresher and new skills training as needed.
  • Assist in the orientation process for new hires, and coordination of new hire training sessions.
  • Process administrative purchase orders, ensure timely payment of invoices and review/track administrative spending activity.
  • Timekeeper responsibilities, responsible to track time of 32BJ union staff.
  • Track and reconcile IT and telecommunications expenses with budget, determine IT needs and place appropriate orders for equipment. Maintain inventory of all active and non-active computers and business related equipment.
  • IT Liaison and Telecommunications Coordinator: troubleshoot problems with computers, printers, copy, scanning machines and any other hardware issues requiring IT expertise. Coordinate with IT vendors for departmental mobile equipment needs.
  • On-boarding and Off-boarding responsibilities: perform general orientation for new hires and consultants, issue IDs, KIDs, provide equipment, computers as needed, etc
  • Supports general office operations in the areas of Real Estate & Housing, Space Management, Finance & Administration, Communications and Project Management.

MINIMUM QUALIFICATIONS

  • Bachelors degree required
  • Experience in a busy non-profit/medical center and/or academic environment
  • Strong knowledge of typical office software and systems and ease with learning new applications
  • Excellent organizational and communication skills
  • High level of integrity and discretion
