As a back office Medical Assistant, you prepare patients to see the physician, assist the physician with procedures, respond to requests for information from patients, physicians, pharmacies, work comp adjusters, complete forms and paperwork as requested, schedule tests, and perform other duties as directed. Works as a team with other medical assistants in the sub-specialty area to provide patients with an excellent encounter.

Educational Requirements:

Qualifications and Experience:
  • Comfortable using e-mail and interacting with Internet applications

Responsibilities:

  • Prepares for the day by assuring that all medical records, test results, and films are available for the physician.
  • Assures exam rooms are clean and ready for the next patient; prepares rooms with necessary instruments and supplies.
  • Puts charts up for the physician when the patient is ready in the exam room.
  • Greets patients and escorts them from the waiting room to exam rooms and back to check-out after the exam.
  • Prepares patients for exam or treatment.
  • Assists physicians during examinations and minor procedures as directed by the physician, including suture/stitch removal and dressing removal/applications, removes and applies casts and splints, etc.
  • Documents all patient correspondence in NextGEN, whether the encounter is in person, by phone, fax, or e-mail.
  • Assists all doctors in the specialty area according to their protocol.
  • Changes patient’s appointment status in Centricity during visit/treatment.
  • Schedules tests and off-site procedures when necessary.
  • Sends tasks to MRI, Physical Therapy, and Surgery Schedulers as necessary.
  • Orders and maintains supplies from company-approved vendors in coordination with other MAs; stocks exam rooms, and maintains equipment for patient treatment including sterilizer, cast saw, and centrifuge.
  • Disposes of contaminated items according to OSHA guidelines.
  • Approves pharmacy requests for prescription refills according to physician protocol.
  • Performs and documents patient education.
  • Works closely with Triage Medical Assistant to address all clinical questions from patients within established protocols.
  • Obtains and reviews all test results and reports ordered by the physician. Presents abnormal results to the physician for immediate review. Assures all results and reports are in the medical record for the physician to review and approve.
  • Ensures that laboratory samples are picked up by the reference laboratory.
  • Cleans and closes down sterilization equipment at the end of the day.
  • Obtains internal authorization for workers’ compensation referrals to NOI physicians, services, or surgery.
  • Provides internal office staff, workers’ compensation adjusters, and/or case managers with work status reports and other clinical information as requested.
  • Verifies HMO insurance eligibility on a daily basis to ensure patients are covered for the current month.
  • Completes patient disability forms for physician approval.
  • Scans/files patient documents into NextGEN.
  • Consistently meets productivity standards as defined.
Additional Responsibilities:
  • Ability to travel to Orange County offices, to receive training and/or help with coverage as needed.
  • Keep all athletic training space and clinical areas safe, clean, and organized.
  • All event materials will be supplied by the HPSM Director - Certified Athletic Trainer will be responsible for scheduling time to pick up and drop off materials for events in advance.
  • Pick-up and drop-off materials based on the needs of the event.
  • Understand current concussion assessment and protocols, including application and use of ImPACT for baseline and post-concussion protocols with physicians.
  • Help organize pre- and post-participation physicals.
  • Demonstrate interpersonal skills required to work effectively with players, coaches, other team personnel, community, and administrative leadership.
  • Provides athletes and community education in the areas of future sports injury prevention and care.
  • HIPAA and OSHA compliant.
  • Practices professionalism when supporting the Newport Orthopedic Institute brand.
  • Meets all productivity standards/goals.
  • Hours spent in athletic training setting/coverage will be determined upon the number of contracts and commitments. The Certified Athletic Trainer is assigned based on the discretion of the HPSM Director.
  • Communicate injuries via NOI provided email, in compliance with HIPAA guidelines.
  • Travel and a modified work schedule may be required - subject to change.

This job has no supervisory responsibilities.

Typical Physical Demands

Position requires prolonged standing, bending, stooping, stretching, jogging, running, kneeling, lift and carry up to 60 pounds. Good hand-eye coordination and manual dexterity and grip strength are also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.

Typical Working Conditions

This is a fast-paced orthopedic medical practice that offers outreach athletic training services. Hours of this position vary from nights, early mornings, and weekends. The PER DIEM certified athletic trainer must be able to adjust and adapt to changing conditions. Locations vary and may include, but are not limited to, working outside, in a gymnasium, or high school setting.
