Responsibilities

  • Receives paperwork for pleadings, court orders, and new lawsuits; inputs into the computer database and uploads digital images.
  • Receives, processes, and issues civil, domestic relations, and probate filings; criminal filings and notices.
  • Ensures filings meet requirements, assigns case numbers, and digitizes documents.
  • Receives filing fees, records payments, and issues receipts.
  • Balances cash and prepares daily cash reports for accounting.
  • Assists individuals with Domestic Abuse Petitions and assigns case numbers.
  • Assists attorneys, court staff, and the public with filing procedures and maintains the e-filing system.
  • Establishes cases, assigns numbers, and presents to judicial offices as needed.
  • Completes witness certificates and assesses fees for subpoenas.
  • Prepares and files pauper lawsuits when approved by judges.

JOB SUMMARY

Supports Circuit Courts by taking receipt of, processing, and filing new cases; interacts extensively with attorneys and self-represented litigants, both in-person and remotely.

ESSENTIAL JOB FUNCTIONS
  • Receives paperwork for pleadings, court orders, decrees, and new lawsuits; reviews to ensure all necessary documentation and proper fees are included; inputs into the computer database and uploads digital images of documents received.
  • Receives, processes, and issues civil, domestic relations, and probate complaints; criminal filings; replevins; summons; judgments; garnishments; writs of execution; writs of assistance; writs of possession; writs of Scaire Facias; notices; warning orders; civil and criminal subpoenas; decrees of divorce; and other court orders.
  • Reviews to ensure that new cases received meet all requirements and are file-stamped and entered into the computer to assign a case number and division of circuit court or rejects filing as needed; file marks pleadings, receives paper filings, digitizes documents, and uploads images into the computer program.
  • Receives filing fees, inputs payment information into computer designating case number and amount paid, and issues receipts.
  • Balances cash and receipt reports daily; submits cash to Accounting Division of Circuit County Clerk's Office.
  • Assists individuals in the completion of Domestic Abuse Petitions; ensures all information is provided; assigns a case number and establishes case file.
  • Assists attorneys, court staff, and the public at the counter, via telephone, and via electronic means with filing a case and answering questions as they relate to case filing procedures; maintains and monitors the e-filing system to ensure timely approval and processing of filings.
  • Establishes a case and assigns a case number for various filings and presents to judicial offices as needed.
  • Completes witness certificates as needed for any witness subpoenaed to testify in a case; assesses appropriate fees to the proper defendant.
  • Prepares and files cases for pauper lawsuits if approved by judges; sends notices to citizens.
  • Conducts record checks to determine any previous cases and judge assigned.
  • Records filing of tax liens and benefit overpayments.
  • Provides telephone support to poll workers as needed during major elections.

MINIMUM QUALIFICATIONS
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES
  • Considerable knowledge of legal terminology, the court system, and legal procedures and practices.
  • Considerable knowledge of the procedures involved with and requirements of case filing, court record establishment, and case file preparation.
  • Considerable knowledge of office practices, procedures, equipment, and terminology.
  • Good knowledge of basic mathematics.
  • Ability to establish and maintain an effective record-keeping system.
  • Ability to read and interpret legal documents and statutes.
  • Ability to communicate effectively in writing, over the phone, and via electronic means.
  • Ability to provide excellent customer service.
  • Ability to count money.
  • Ability to establish and maintain an effective working relationship with the general public, attorneys, other County employees, and outside agencies.
  • Ability to teach staff to digitize documents and manipulate file sizes.
  • Ability to maintain discretion regarding privileged information.
  • Ability to attend work regularly and reliably.
  • Skill in the operation of and data entry into a computer.
  • Skill in the digitization of documents.
  • Skill in manipulating file sizes to meet system requirements.
PHYSICAL REQUIREMENTS
  • Ability to stand for long periods of time.
  • Visual acuity is sufficient for normal office activities, including the use of a PC.
  • Digital dexterity is needed for keyboard and mouse operation.
  • Ability to lift and carry up to 25 pounds.
EDUCATION AND EXPERIENCE

Completion of high school or equivalent with advanced training in word processing, data entry, bookkeeping courses, or related fields; some work experience with clerical record-keeping in a legal, court, or related area; or any equivalent combination of experience and training which provides the required skills, knowledge, and abilities.
