Job summary

Qualifications

  • High school diploma or GED required.
  • 3 years of experience in a Boys & Girls Club or similar organization handling administrative/customer service duties.
  • Proficient with Microsoft and/or Google suite of productivity applications (Word, Excel, Forms, Outlook, etc.).
  • Ability to manage multiple demands and meet deadlines.

Responsibilities

  • Manage administrative tasks including membership and attendance records, data accuracy and timely reporting.
  • Handle payments, enrollments, and program-related documentation; maintain center files and staff records.
  • Serve as first point of contact for members and families; greet visitors and provide information.
  • Support grant and subsidy eligibility processes and assist with outreach and engagement activities.

Job Description

Pay: $19.00/Hour

Full-Time

The Center Administrative Specialist supports the daily operations of one or more Early Childhood Learning (ECL) Centers by managing administrative tasks and ensuring excellent customer service. Key responsibilities include tracking data, memberships, attendance, payments, and maintaining all Center documents, as well as assisting with child supervision in the Center.

The essential job duties for this role include:

Administrative Duties
  • Responsible for completion of the following administrative tasks including, but not limited to:
    • Maintaining accurate membership and attendance records.
    • Verifying member forms and data for accuracy and completeness.
    • Processing and tracking fee payments prior to service delivery.
    • Generating accurate reports for payments, enrollments, and programs.
    • Keeping staff records up to date
    • Ensuring all deadlines are met.
  • Manage Center files and documentation, ensuring accurate organization, accessibility, and version control for staff use.
  • Manage grant and subsidy eligibility processes by pre-qualifying participants, collecting required documents, and guiding families through applications.
  • Serve as the first point of contact by professionally greeting members, families, and visitors; arranging Center tours; and ensuring visitor compliance.
  • Communicate programs, activities, events, and field trips clearly to members and families to encourage participation.
  • Answer phones, messages, emails promptly and courteously, providing accurate information and support.
  • Provide training to staff on Center administrative procedures.
  • Collaborate with ECL and BGCSNV staff, families, and community partners to ensure smooth operations and service delivery.
  • Support student outcome reporting in the pre-K data system.
  • Assist with member retention and recruitment through outreach and engagement.
  • Participate in other job-related duties and activities related to the position, as assigned.
Center Duties
  • Provide the opportunity for all students to learn in a safe, supportive, inclusive, and culturally responsive environment that positively promotes learning.
  • Create and maintain a positive, orderly, and academically focused learning condition in the instructional environment.
  • Adhere to all standards regarding safety. Make timely reports of any incidents, hazards, or conditions which could affect the safety of children and/or staff.
  • Participate in safety assessments and planning for safety improvement.
  • Assist with the implementation and/or administration of appropriate curriculum, aligned with the Nevada Pre-K Standards.
  • Assist with the implementation of daily and long-range lesson plans using research-based strategies to meet the needs of all students, including but not limited to, students who have been identified as at-risk and above grade level, students with individualized educational programs (IEP), and English language learners (ELL).
  • Participate in and ensure assessment regulations and guidelines are followed.
Other Duties
  • May support in the classrooms as necessary.
  • May be required to assist with BGCSNV special events.
  • May perform other duties as assigned.

  • High school diploma or general equivalency
  • Three years of experience in a Boys & Girls Club or similar organization completing administrative/customer service duties.
  • Strong working knowledge of Microsoft and/or Google suite of productivity applications (Word, Excel, Forms, Outlook, etc.).
  • Ability to deal effectively with multi-age groups of children, small groups of children in activities and free play, and large groups of children in organized activities.
  • Ability to meet deadlines with time constraints and handle multiple demands.
  • Strong interpersonal and team leadership skills.
  • Ability to interact professionally with the public, families, Youth Development Professionals, and members.
  • Demonstrated ability to take responsibility for the safety, well-being, and output of others.
Driving Position: Must have a valid Nevada driver's license and good driving record. Use of a personal vehicle may be required and mileage is reimbursed.
