Intentional Hospitality Catering in Phoenix, AZ is seeking a Catering Event Coordinator to own the entire event journey from the initial inquiry to final walkthrough. You will report to the Director of Operations and guide pre-planning, on-site execution, and post-event follow-up.

You will manage venue walkthroughs, staffing, and vendors, while coordinating menus and rental needs to ensure seamless guest experiences.

Qualifications

  • 3+ years of service experience in a restaurant or high-end catering setting.
  • 2+ years in captaining, restaurant management, or catering management.
  • Able to work 8+ hour shifts, on your feet, and lift up to 50 lbs.
  • Food Handler's Card and Title 4 Liquor certification (or ability to obtain).

Responsibilities

  • Own event pre-planning — venue walkthroughs, staffing, and vendor coordination.
  • Manage the sales cycle for new inquiries, including discovery calls and contracts.
  • Build and finalize Event Orders in TripleSeat with accurate details for clients and staff.
  • Lead on-site alongside Captains and Chefs from setup through close-out.
  • Coordinate menus, bar packages, and vendor/rental needs tailored to each client.
  • Follow up with clients post-event and reconcile final invoices.

Catering Event Coordinator

Every great event starts months before the first guest walks in — and doesn't end until the last invoice is closed. We're looking for a Catering Event Coordinator to own that entire journey for our clients, from the first phone call to the final walkthrough.

IHC provides full-service catering for corporate and social events, from intimate gatherings to large-scale celebrations. We care about thoughtful execution — from the first conversation with a client through the last plate cleared — and about building a team that treats every event like it's the only one that day.

About the Role

You'll report to our Director of Operations and be the through‑line for our events — turning inquiries into signed contracts, building out the details in TripleSeat, and making sure execution day‑of is seamless. A year in, you'll be the person clients and staff both turn to first: known for events that run smoothly and relationships that keep clients coming back. Relationships are what it’s all about!

What You'll Do
  • Own event pre‑planning — venue walkthroughs, packing lists, staffing, and vendor/rental coordination — so every event is set up to run smoothly
  • Manage the sales cycle for new inquiries: discovery calls, custom proposals, contracts, and deposits
  • Build and finalize Event Orders in TripleSeat, keeping every detail accurate for clients and day‑of staff
  • Lead on‑site alongside Captains and Chefs, from setup through close‑out, to deliver a great guest experience
  • Coordinate menus, N/A bar packages, and vendor/rental needs tailored to each client
  • Follow up with clients post‑event and reconcile final invoices and solicit feedback

Typically Monday–Friday, business hours, with occasional evenings or weekends to support events.

Requirements
  • 3+ years of service experience in a restaurant or high‑end catering setting, including 2+ years in captaining, restaurant management, or catering management
  • 21+ years of age, with a Food Handler's Card and Title 4 Liquor certification (or the ability to obtain one)
  • Able to work 8+ hour shifts on your feet and lift up to 50 lbs
  • Reliable transportation and availability for occasional evenings/weekends to support events
  • Strong organizational skills, with the ability to multitask and communicate clearly under pressure
Preferred
  • Experience with event management or CRM platforms (e.g., "TripleSeat")
  • Background in event sales, hospitality management, or client relations
Schedule

Salary: $50,000 plus commission
