The Legends Toledo Complex delivers premium catering for internal and ticketed events. The Catering Coordinator plans, details, and executes catering requests, creates BEOs and event orders, and supports the Premium Manager.

THE ROLE

The Toledo Complex includes both the Huntington Center and the Glass City Center. This position provides operational support across both venues. The Catering Coordinator will be responsible to support the overall day to day operations for the special events and catering department. In addition, this plan and execute events as assigned and will assist and support the Director of Catering. The Catering Coordinator will work closely with the department Director and Managers to gain experience of completing tasks associated with specials events catering and event planning. The Coordinator will have working knowledge of special events planning, creating BEO’s, and venue on premise catering.

Essential Duties and Responsibilities
  • Plan, detail and execute catering requests for internal events and special events as assigned.
  • Communicate with the Premium clients via email and phone to fulfill customer requests and answer questions.
  • Create event orders, floor plans and event logistics reports.
  • Work in conjunction with the culinary team to select menu options for assigned events and track internal costs.
  • Create event orders for ticketed events.
  • Assist the Premium Manager with the planning and executing of catering orders for internal clients.
  • Assist with part-time premium level staff scheduling.
  • Act as a ‘manager on duty’ during ticketed and catered events.
  • Create event sheets with relevant information for staff instruction.
  • Provide appropriate documentation to the accounting department to generate post event invoices.
  • Plan and execute special events with range of experience as assigned.
  • Support the catering operations for all ticketed events and special events as assigned.
  • Attend various staff and stadium production meetings.
  • Support the overall day to day operations for the catering department front of house.
  • Monitor venue calendar for catering requests.
  • Assist in overall special events preparation as needed.
  • Assist with on site event management for front and back of house.
  • Develop knowledge of conflict resolution as it relates to special events planning and execution.
Qualifications

Must be proficient in Microsoft Excel, Word, Outlook and Power Point Microsoft Office document formatting. Knowledge of catering event order system; proficient in Infor and TapIn2 is a plus Detailed oriented and organized Excellent Customer Service and ability to multi task Ability to work in fast pace environment. Creative and ability to think outside the box. Minimum 1 years in hospitality coordinator role Working knowledge of culinary/food & beverage Detail oriented and experience in creating BEO’s Strong written and verbal communication skills. Interest and understanding of the special events and or hospitality industry. Computer Skills: Microsoft Office to include document formatting. Ability to work in fast pace environment..

Education and/or Experience

High School Diploma or Equivalent Minimum 1 - 2 years previous experience working in hospitality, administrative support, or customer service. Experience using Outlook, Excel, Word and PowerPoint.

Must be able to lift 50lbs. Must be able to stand and work on your feet for 8-10 hours a day. Must be able to stretch and reach. Pushing, pulling or carrying catering equipment as necessary.
