Job summary

Starwood Hotels is seeking a Sales and Marketing Coordinator to support the Sales & Marketing team on Kauai, Hawaii. The role covers general office duties, client communication, proposal drafting, booking management, and administrative support.

The ideal candidate will have a post-secondary diploma or degree, 2+ years' experience, strong MS Office skills, and excellent verbal and written communication, with a guest-service orientation and flexibility for a 24-hour operation.

Qualifications

  • 2+ years in a comparable role or equivalent combination of education and experience.
  • Strong administrative, organizational, and technical skills.
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Word).
  • Excellent verbal and written communication skills.
  • Able to manage multiple priorities and meet deadlines.

Responsibilities

  • Answer phone calls and respond to inquiries in a pleasant and professional manner.
  • Provide clients with information about property facilities and services (hours, rates, rooms, packages, promotions, entertainment, restaurants).
  • Serve as the point of contact for clients via phone and email.
  • Generate reports, prepare proposals, and coordinate with clients and suppliers.
  • Assemble information packages and promotional materials.
  • Manage sales managers' schedules, appointments, and travel arrangements.
  • Assist the sales team with filing and communication of important information.
  • Arrange and coordinate meetings, events, and appointments.
  • Record and distribute minutes of meetings when needed.
  • Conduct hotel site tours with potential clients.
  • Monitor and respond to incoming communications.

Job description

Sales and Marketing Coordinator to support the Sales & Marketing team. The role involves general office duties, client communication, proposal drafting, booking management, and administrative support.

Responsibilities
  • Answer phone calls and respond to inquiries in a pleasant and professional manner.
  • Provide clients with information about property facilities and services such as hours of operation, rates, room types, packages, promotions, entertainment, and restaurants.
  • Serve as the point of contact for clients, responding to questions and requests via phone and e‑mail.
  • Generate reports, prepare proposals, collections details, and coordinate with clients & suppliers.
  • Gather materials and assemble information packages, including brochures, promotional materials, sales demo kits, welcome kits, and amenities.
  • Manage and maintain sales managers’ schedules, appointments, and travel arrangements.
  • Assist the sales team by managing schedules, filing important documents, and communicating relevant information.
  • Arrange and coordinate meetings, events, and appointments.
  • Record, transcribe, and distribute minutes of meetings when needed.
  • Perform hotel site tours with potential clients.
  • Monitor, screen, respond to, and distribute incoming communications.
  • Execute other duties as assigned by the Director of Sales or leadership team.
Qualifications
  • Post‑secondary diploma or degree in a related field.
  • Two or more years of experience in a comparable position or an equivalent combination of education and experience.
  • Strong administrative, organizational, and technical skills.
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Word, etc.).
  • Detail‑oriented, accurate, and able to manage multiple priorities and meet deadlines.
  • Strong interpersonal skills and guest‑service oriented with a sincere, friendly, and helpful personality.
  • Willing to pitch‑in and assist colleagues, acting as a team player.
  • Excellent verbal and written communication skills.
  • Flexibility to meet the demands of a 24‑hour operation and work a varying schedule to reflect business needs of the hotel.
