Director Of Talent Acquisition @ Cipriani

POSITION PURPOSE:

We are seeking a hospitality focused and organized individual to join our team as a position Catering Coordinator supporting the Catering Sales Team (currently 3 full-time professionals) in all administrative aspects of the event sales and planning process and managing the cultural event calendar.

ESSENTIAL FUNCTIONS AND DUTIES:

  • Record and assign incoming inquiries for private events.
  • Schedule and confirm appointments and manage calendars for Catering Sales team.
  • Prepare and track event contracts and deposit invoices.
  • Maintain deposit collections process and post final event data to close events.
  • Generate and modify Banquet Event Orders for events.
  • Create and modify diagrams in AllSeated diagram software for client events.
  • Liaise with hotel regarding event client hotel accommodations
  • Prepare weekly/monthly sales and operations reports and other periodic customized reports.
  • Work collaboratively with Director of Catering and Events to create and communicate standard operating procedures.
  • Manage office supplies, equipment and other office operational requirements.

KNOWLEDGE, EXPIERENCE AND SKILLS

  • Must possess strong administrative skills as well as basic computational ability. Knowledge of computer software, including but not limited to Microsoft Office (Outlook, Word, Excel, and PowerPoint), Delphi via Salesforce, Opera, AllSeated/Prismm diagram software.
  • Analytical ability and online research skills required to gather and summarize data for reports.
  • Requires strong communication skills, both verbal and written.
  • Strong attention to detail in composing, typing and proofreading documents and marketing materials.
  • Ability to establish and meet deadlines.
  • Ability to learn and perform all essential job functions accurately and safely.
  • Auditory and visual abilities to observe and detect signs of emergency situations.
  • Minimum 2 years related experience and/or training; or equivalent combination of education and experience.

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION:

  • Ability to sit and/or stand for extended periods.
  • Ability to lift and carry up to 25 pounds occasionally.
  • Flexibility to reach, bend, and stoop.
  • Availability to work weekends and holidays as needed.
