We are seeking a talented and experienced Catering Coordinator to join our team.

The Catering Coordinator is responsible for enhancing the effectiveness of the Catering Sales Department by providing customer service, administrative and clerical support to sales staff. This position involves collaborating closely with sales staff, clients, vendors, and various departments within the company to streamline the promotion and sale of all D’Amico Hospitality products, services, catering venues, and restaurant locations. The Catering Coordinator must be a highly proactive and engaged professional with exceptional written and verbal communication abilities. As the initial point of contact for clients, this role represents the Company and must embody a demeanor that enhances the Company’s reputation and fosters client relations.

DUTIES AND RESPONSIBILITIES:

1.Handle incoming calls and emails in a professional and timely manner; primarily by connecting the customer to the most appropriate planners as dictated by guidance provided by the Director of Sales, while maintaining accurate records of client assignments and transferring calls to various departments as necessary.

2.On a regular basis, prepare weekly, monthly, and other reports as needed.

3.Prepare and distribute a weekly production pack, including event orders, floor plans and other logistical information in a timely and accurate way.

4.Distribute guarantee and change sheets on a daily basis at given timelines to the appropriate departments within the company.

5.Provide timely and accurate clerical, administrative and event planning support on a daily basis to the sales team, the Director of Sales and Marketing and other staff as requested.

6.Create and distribute banquet signage to appropriate catering staff.

7.Prepare or assist in preparing all clerical and administrative projects for the sales staff, including reports, mailings or projects of any kind.

8.Attend and participate in production meetings, sales meetings, networking events, and other meetings as requested.

9.Provide back-up support for the front desk as well as to fellow coordinators as needed and/or requested.

10.Serve as backup for sales person as needed (for example, when planner is on vacation, out sick, has double bookings, etc.), handling tours, meetings, and paperwork updates as requested by planner.

11.Serve as a positive role model, maintaining a professional demeanor, fostering teamwork, and treating all individuals with respect to uphold the reputation of D’Amico.

12.Perform additional duties as assigned, all in a prompt, courteous and professional manner.

PHYSICAL REQUIREMENTS:

Must be able to speak clearly and listen attentively to all staff and clients by phone and in person; most of whom speak English.

Must be able to read and write to facilitate the communication process.

Must have manual finger dexterity and be computer literate.

Must be able to remain stationary for long periods of time, up to at least eight hours in length.

Must be able to bend, lift, and carry items weighing up to 50 pounds on an occasional basis.

Must be able to drive to facility tours, off-premise event site visits, and attend meetings (networking events, sales meetings, etc.) at various locations.

Must have the ability to consistently arrive at work for all scheduled shifts as assigned.

Must demonstrate computer literacy, including proficiency in managing email communications and using software such as Excel for data management and analysis.
