Job Summary
Performs a variety of clerical tasks related to tax payment collection, billing, recording of property payments, maintenance of County records, and responding to information and service requests from taxpayers and other entities.
Essential Duties and Responsibilities
- Serves as a liaison for Buchanan County Collector's Office.
- Assists the public at the front counter and by telephone, providing information regarding Collector functions and the process of paying taxes.
- Answers phone calls and routes them accordingly.
- Prepares and mails forms and correspondence to customers.
- Assists in locating delinquent taxpayers, coordinating reports for delinquent and abated taxes, and forwarding reports to the appropriate taxing entity.
- Assists in the billing process of personal property and real estate taxes.
- Maintains detailed records of all transactions.
- Ability to secure and maintain qualifications for a surety bond.
- Responds to requests for information from citizens, real estate agents, appraisers, etc.
Other Duties and Responsibilities
- Operate office equipment, including but not limited to: copy machine, computer, phone, 10-key.
- Be familiar with Excel and Word.
- Determine correct address for returned mail.
- Perform all other duties as assigned.
Education/Experience
High school diploma required. Education equivalent to graduation from a two-year college or university with a major in accounting, finance, or business administration preferred.
Required Knowledge, Skills, and Abilities
- Knowledge of the Collector’s Office derived through education, training, and experience to deal with issues or researchable problems.
- Knowledge of state statutes, regulations, and procedures.
- Knowledge of the tax collecting process and the procedures and technical skills to receive, record, and report payments.
- Basic knowledge of accounting practices and computerized record keeping.
- Ability to investigate and research specific problems and situations related to property tax collection.
- Understanding of the statutory requirements of the Collector’s Office and process.
- Ability to ensure the accuracy, timeliness, and thoroughness of work in accordance with legal, procedural, and policy guidelines.
- Ability to manage job-related stress, work under busy and hectic circumstances, multitask, and adapt to unexpected interruptions.
- Ability to exercise discretion, tact, and diplomacy at all times.
- Proficiency in operating various office equipment, including computers, telephones, fax machines, calculators, and copiers.
- Commitment to protecting the confidentiality of citizens' information.
- Able to work independently and as part of a team.
- Strong attention to detail and organizational skills.
