Job summary

Barrow Brain and Spine is seeking a Medical Assistant to support patient intake, scheduling, and clinic operations at our Phoenix office. You will register patients, verify insurance, and prepare clinical notes for physicians, ensuring a smooth patient flow in a fast-paced environment.

The ideal candidate holds a CAHEAP-accredited MA program, has 2+ years in a medical clinic, and demonstrates excellent communication and teamwork.

Qualifications

  • Graduate from a CAAHEP-accredited Medical Assisting program.
  • Minimum two years experience in a medical clinic.
  • Strong oral, written and telephone communication skills.
  • Ability to coordinate schedules and patient information accurately.

Responsibilities

  • Register new patients in AthenaOne and verify demographics and insurance.
  • Ensure physicians have all notes, labs, and reports prior to patient arrival.
  • Answer calls, triage when needed, and route to appropriate staff.
  • Schedule appointments and manage calendar entries.
  • Coordinate with physicians' schedules and assist team as needed.
  • Obtain authorizations from insurance carriers.
  • Enter appointments into Centricity and Outlook calendars.
  • Prepare and run clinics and schedule outpatient testing.
  • Make reminder calls to patients and greet visitors.
  • Ensure accurate patient records and adjustments in the system.
  • Coordinate referrals and prepare billing information for processing.
  • Possess working knowledge of ICD-10 and CPT coding.
  • Provide cross-coverage and support to BBS staff as required.

Requirements
TYPICAL PHYSICAL DEMANDS
  • Prolonged sitting, standing, bending, stooping and stretching and/or walking
  • Ability to lift up to 20 pounds as needed
  • Eye‑hand coordination and manual dexterity sufficient to operate a computer keyboard, photocopier, fax machine, telephone, calculator, and other office equipment
  • Normal range of hearing and vision to record, prepare, and communicate appropriate reports
Typical Working Conditions
  • Work is performed in an office environment, with contact with patients, office staff, physicians, etc.
  • Travel to different clinic locations as required
  • Overtime as required
Job Duties & Responsibilities
  • Registers new patients in AthenaOne prior to scheduling appointment with correct demographic and insurance information
  • Makes sure all initial consultations, pertinent notes, lab slips, radiology and pathology reports are available to the physician prior to patient arrival
  • Answers telephone and either responds to inquiry, directs caller to appropriate personnel, or initiates a triage slip for response by medical personnel
  • Schedules appointments and immediately enters appointment date and time into computerized scheduler
  • Responsible for knowing the physician's personal schedule and coordinating it with the clinical and surgical schedules
  • Assists Medical Assistants and Practice Coordinators as needed
  • Retrieves authorization from insurance carrier for services
  • Enters office and surgical appointments directly into Centricity and physicians’ personal Outlook calendar
  • Prepares and runs clinics
  • Schedules outpatient testing
  • Conducts reminder calls to all patients
  • Greets and directs patients, salespeople, and visitors
  • Registers patients by verifying that the patient's record is up to date and accurate. Makes appropriate changes in computer system
  • Provides coverage to other positions as requested
  • Coordinates referrals for patients through insurance and other physician offices
  • Prepares all billings in computerized system for processing by Business Office.
  • Codes office charges on e-ticket and sends appropriate op notes and coding information to coder within 5 days of service
  • Working knowledge of ICD-10 and CPT coding
  • Tracks incoming scans for film reviews for upcoming consultations/office visits
  • Able to perform all jobs within the office setting when other employees are absent
  • Supports BNA Compliance Program

Education & Experience
  • Graduate of a formal program in Medical Assisting, accredited by the Commission of Accreditation of Allied Health Education Programs (CAAHEP)
  • Two (2) years experience in a medical clinic
