An overview of this role

As a Candidate Experience Specialist, you'll shape how candidates experience GitLab from first touch through offer and handoff to our People Operations team. You'll be a key partner to Recruiters, hiring managers, and recruiting leadership, helping them execute hiring plans, coordinate interviews, and maintain accurate, transparent processes in our applicant tracking system and GitLab repositories. You'll act as a brand ambassador who embodies our values in every interaction, ensuring candidates receive timely, thoughtful communication and a consistent, high quality experience across a high volume of roles. You’ll focus on building strong relationships with hiring teams, improving and standardizing coordination workflows, and supporting GitLab's goal of hiring a qualified, diverse, and motivated team in our all-remote, global environment.

What You’ll Do

  • Collaborate with Recruiters, hiring teams, and Recruiting leadership to understand and execute the hiring plan for each job requisition.
  • Coordinate with Recruiters to maintain accurate, up-to-date hiring process information in the applicant tracking system and GitLab repositories.
  • Manage candidate scheduling and act as the Recruiting Coordinator to organize interviews and keep hiring processes running smoothly.
  • Ensure candidates receive timely, thoughtful, and engaging communication at each stage of the hiring process.
  • Help manage candidate traffic for all roles, monitoring pipelines and flagging issues or bottlenecks to the recruiting team.
  • Create and stage employment contracts for candidates receiving offers on behalf of hiring managers and Recruiters.
  • Partner with People Operations to create a seamless handoff for new team members joining GitLab.
  • Promote GitLab's values, culture, and all-remote approach in every interaction, acting as a brand ambassador for potential team members.

What You’ll Bring

  • Experience supporting end to end hiring processes in partnership with recruiters and hiring managers, ideally in a fast paced or high volume environment.
  • Skill using an applicant tracking system to schedule, track, and move candidates through interview stages; Greenhouse experience is beneficial but not required.
  • Proficiency with Google Workspace, scheduling tools, and a willingness to learn and use additional tools.
  • Ability to communicate clearly and professionally in writing and verbally with candidates and internal stakeholders at all levels, including executives.
  • Demonstrated strength in organization, time management, and prioritization, with a consistent focus on meeting deadlines and maintaining attention to detail.
  • Ability to build collaborative relationships with team members across time zones and functions while maintaining a high level of confidentiality.
  • Interest in learning about talent acquisition and contributing to an inclusive hiring process that attracts a qualified, diverse, and motivated team.
  • Alignment with GitLab's values and comfort working in an all remote, asynchronous environment, including flexibility in your working hours to support candidates and hiring teams across multiple time zones, with openness to transferable experience from related coordination or operations roles.

About the team

The Candidate Experience team partners with Recruiters, hiring managers, and People Operations to run a smooth, consistent, and inclusive hiring process across GitLab's all-remote, global organization. You'll join a collaborative group that coordinates interview logistics, manages candidate flow in our applicant tracking system, and supports offer and onboarding handoffs so candidates and hiring teams have a clear, organized experience at every stage. The team works asynchronously across time zones, using GitLab and shared documentation to stay aligned while handling high-volume hiring. Our focus is on refining processes, maintaining accurate data, and acting as brand ambassadors for GitLab's values in every candidate interaction.

Please note that we welcome interest from candidates with varying levels of experience; many successful candidates do not meet every single requirement. Additionally, studies have shown that people from underrepresented groups are less likely to apply to a job unless they meet every single qualification.
