Job Summary:
Under general supervision, performs a variety of administrative duties supporting the Supportive Care Coordinator and the cancer program team. Responsibilities include greeting patients, answering calls, scheduling, maintaining files, assisting with reports and data analysis, supporting team members, and managing special projects. Acts as a first point of contact in the Cancer LifeNet area.
Job Functions:
- Provide excellent customer service, greeting patients and triaging calls.
- Manage calendars, coordinate meetings, prepare reports, and handle correspondence.
- Maintain departmental supplies and order educational materials.
- Support support groups with logistics and attendance tracking.
- Prioritize tasks, exercise judgment, and work independently within responsibilities.
- Collaborate with team members, support off-site events, and represent the department.
- Supervise volunteers, assign tasks, and assist with mailings and educational materials.
- Prepare reports, presentations, and educational materials.
- Act as Safety Representative, perform safety rounds, and maintain safety communication.
- Coordinate the Calendar of Events and update mailing lists.
- Participate in quality improvement activities and support administrative functions.
- Maintain high standards of customer satisfaction and professionalism.
- Assist with Accounts Payable processes.
Requirements:
- Education & Training: AA degree in Secretarial Science or equivalent experience (minimum 3 years).
- Experience: At least 3 years as an Administrative or Executive Assistant, preferably in healthcare. Knowledge of medical terminology required.
Skills & Abilities:
- Experience with Epic electronic health record system is required.
- Proficient in Microsoft Word, Excel (strongly preferred), PowerPoint, and Outlook.
- Excellent communication and interpersonal skills.
- Ability to prioritize, handle change, and exercise discretion with confidential information.
- Strong critical thinking and judgment skills.
- Must pass word processing and spreadsheet tests.
