Position Summary

Under the lead work direction of the Communications and Program Specialist, and general supervision of the Associate Vice President for Campus Life, the Campus Life Events Coordinator is responsible for overseeing, coordinating, and producing professional education projects and special events, including the annual “Arrive to the Hive” student engagement events and other Campus Life related programming. The Coordinator plans, executes, and coordinates multiple events simultaneously at varying stages, ensuring high quality and excellent customer service. The Coordinator works closely with internal and external service providers to develop clear event specifications, contracts, and standards of service, monitors progress toward agreed objectives, ensures costs stay within budget, and maintains regular communication with the Communications and Program Specialist.

Responsibilities

• Plan, develop, and execute large‑scale campus events from concept through post‑event evaluation.
• Coordinate multiple events simultaneously at different stages of planning.
• Maintain and strengthen client relationships, providing professional service and client liaison.
• Negotiate contracts and specifications with vendors, monitor performance, and manage budgets.
• Provide detailed reporting and analysis of event outcomes.

Minimum Qualifications

• Bachelor’s degree in a related field and four years of relevant experience, or equivalent experience substituting education one‑to‑one year.
• Advanced degree in a related field may be considered on a year‑for‑year basis.

Required Qualifications
  • Experience with complex and/or large‑scale event planning (e.g., large student‑centered programs or ceremonies).
  • Experience performing high‑level, quality‑oriented, customer‑centric, and detailed duties while being dependable, proactive, and responsive.
Knowledge, Skills, and Abilities
  • Excellent interpersonal skills, building and maintaining professional relationships with a variety of internal and external constituents.
  • Excellent communication skills with the ability to maintain confidentiality.
  • Strong organizational and detail‑oriented skills, coordinating multiple events with competing deadlines.
  • Proficiency in standard office software (e.g., Microsoft Word, Excel).
  • Demonstrated ability to analyze information, anticipate and identify problems, and address them proactively.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations with numerous demands.
  • Ability to work independently as well as collaboratively.
  • Ability to provide lead work direction to others (e.g., volunteers, interns, student assistants).
  • Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents.
Work Schedule Requirements
  • Ability to work evenings and/or weekends as needed.
Physical Requirements
  • Occasional lifting, carrying, transporting, or positioning equipment or materials up to 25 lbs.
Conditions of Employment
  • Ability to pass a background check.
Preferred Qualifications
  • Experience working in Student Affairs or a similar area within Higher Education.
  • Knowledge of university infrastructure, policies, and procedures.
