Job Description: The Campus Coordinator plays a vital role in keeping the campus running smoothly and collaboratively each day. Working closely with the Campus Director, this position supports daily operations by coordinating administrative functions, managing resources, and serving as a key point of contact for faculty, staff, visitors, and campus partners. From budgeting and facilities coordination to campus safety and event support, the Campus Coordinator helps create an organized, welcoming, and well-supported environment where students and employees can thrive.

JOB SUMMARY: Under minimal supervision, this position helps the Campus Director ensure smooth operation of the assigned campus. Duties include assisting in preparing the budget and monitoring campus expenditures; assisting with facility needs and rentals; and serving as a local point of contact for campus visitors, faculty needs campus safety, facilities, IT, student life, off-campus sites, and other non-student success staff on campus.

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Serve as the office manager for the campus, providing administrative support to the Campus Director.
  • Supervise and manage staff on campus as needed by the Campus Director.
  • Assist in preparing and monitoring the campus budget, process purchase orders, and oversee purchasing card expenditures.
  • Manage all facility rentals through current system; approve scheduling of events and rental usage, coordinate needs for events, and serve as point of contact on campus for all rentals; work with cashiers to process facility rental payments.
  • Complete classroom assignments after course schedule is constructed.
  • Maintain office/classroom supplies and manage/monitor service request tickets.
  • Establish and maintain business relationships with vendors.
  • Handle all phone, computer, AV equipment, copy machines, and fax problems for the campus.
  • Oversee all campus classrooms and coordinate with IT to maintain classroom equipment.
  • Act as campus safety liaison; handle key requests and related records; maintain files for incident reports; maintain and update campus security plan and employee contact information.
  • May act as support for registration assistants as needed (applications, transcripts, cashiering and residency).
  • Assist with campus and recruitment events.
  • May notarize documents.
  • Provide technical support with C-port lockers.
  • Complete all other duties and responsibilities as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:

  • Associate degree; Bachelor preferred; three (3) years of directly related clerical/administrative, office management experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Public notary license desired.
  • Knowledge of bookkeeping procedures and standard office practices.
  • Knowledge of College/branch policies and procedures as well as public relations.
  • Skill in organizing, typing, entering data, and filing.
  • Skill in applying and using technology as related to this position including working with Microsoft Office and Windows based applications.
  • Ability to be accurate and detailed oriented, apply good judgement, work independently as well as with others, be diplomatic, multi-task, and be self-motivated.

PHYSICAL DEMANDS: This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.

To perform this job successfully, the employee must possess the abilities or aptitudes to perform each duty proficiently. Additionally, all employees of the College are expected to maintain professional standards of communication, able to learn and apply new technology, and abide by all policies and procedures. Continued employment remains on an “at-will” basis.
