Patten Free Library is seeking a Campaign Coordinator and Development Assistant to manage fundraising projects, capital campaigns, grants, donor stewardship, reporting, and events. The role works with the Development Director and Campaign Advisor to move initiatives from concept to completion, requiring fundraising experience and strong organizational skills.

This part-time position (approximately 15 hours/week) reports to the Development Director and runs for the duration of the capital

Qualifications

Job description

Job Summary

Patten Free Library is seeking a highly organized, motivated, and fundraising-minded professional to serve as its Campaign Coordinator and Development Assistant. This position will help manage key fundraising projects, with responsibility for capital campaign projects and grants, donor stewardship, fundraising data and reporting, annual giving, and campaign events. Working closely with the Development Director and Campaign Advisor, the Coordinator will work independently to develop strategies, solve problems, build effective systems, and move initiatives from concept through completion. The ideal candidate will bring fundraising experience, sound judgment, and strong organizational skills.

This is a part-time position of approximately 15 hours per week, reporting to the Development Director. The position will continue for the duration of the capital campaign.

Key Responsibilities
Campaign Administration
  • Support donor and prospect cultivation and stewardship through research, communications, donor materials, and engagement opportunities.
  • Maintain accurate campaign records, including gifts, pledges, naming opportunities, and fundraising progress.
  • Support campaign committee activities and donor cultivation meetings.
Campaign Grants
  • Research and identify foundation, corporate, and other grant opportunities aligned with campaign priorities.
  • Independently manage grant applications, including research, proposal development, submission, tracking, and follow-up.
  • Manage grant stewardship and reporting requirements and maintain accurate grant tracking systems.
Campaign Events
  • Plan and execute campaign fundraising and donor engagement events in partnership with the Campaign Advisor and Development Director.
  • Develop event plans, budgets, timelines, communications, volunteer needs, and logistics.
  • Coordinate vendors, sponsors, volunteers, committee members, and library staff.
  • Manage invitations, registration, event materials, donor communications, and post-event stewardship.
Development
  • Assist with annual appeal projects and independently manage donor data and reporting, including mail merges, database updates, gift processing, donor lists and queries, and fundraising, campaign, and stewardship reports.
  • Develop and distribute donor communications, including monthly electronic newsletters and other fundraising and stewardship communications.
Qualifications
  • High school diploma required; bachelor’s degree in nonprofit management, communications, business, marketing, or a related field preferred.
  • Experience in fundraising, nonprofit administration, project management, or a related field strongly preferred.
  • Grant research, writing, and reporting experience preferred.
  • Experience planning fundraising or community events preferred.
  • Understanding of fundraising practices including annual giving, donor stewardship, prospect research, fundraising communications, and grants.
  • Excellent organizational, analytical, and project management skills, with exceptional attention to detail and accuracy.
  • Demonstrated ability to work independently, take initiative, exercise sound judgment, and manage multiple priorities and deadlines.
  • Strong written and verbal communication skills, including the ability to write compelling donor and grant communications.
  • Experience working with donor databases and fundraising technology; knowledge of Little Green Light is a plus.
  • Proficiency with Microsoft Office, Google Workspace, email, and general technology applications.

They are comfortable working independently, but value collaboration and know when to seek input. This person is a strong writer and communicator, comfortable working with fundraising data. They take ownership of their work, follow through on commitments, and are equally comfortable developing a grant proposal, running a donor report, planning an event, or finding ways to improve work efficiencies. They are highly detail-oriented and take pride in producing accurate, thorough work, while also keeping sight of the larger fundraising goals and priorities.
