Camp Office Manager (Music Conservatory) - Camp Heart O' Hills AOK - Welling, OK

Location: Camp Heart O’ Hills, Welling, OK

Position Type: Temporary Full-Time

About this opportunity:
The Salvation Army, an internationally recognized non-profit, faith-based organization, has a job opening for a Camp Music Conservatory Office Manager for the Arkansas and Oklahoma Conservatory of Music and Arts, located in Welling, OK.

This is a summer position at Camp Heart O’ Hills. This position summary should not be interpreted as all-inclusive, as it is intended to outline the essential functions and requirements of the role. Incumbents may be asked to perform additional responsibilities and tasks beyond those listed.

The Conservatory Office Manager is responsible for performing various clerical and administrative duties to ensure the efficient operation of the Conservatory office.

Key Responsibilities:

  • Manage routine office operations, including processing paperwork, filing, copying music and materials, maintaining records, and handling incoming/outgoing mail.
  • Answer and direct telephone calls appropriately and supervise the office during times when children call home.
  • Keep the office organized, clean, and functional, ensuring it serves as an effective workspace and resource library for staff.
  • Take detailed and accurate minutes of all meetings.
  • Maintain up-to-date calendars, schedules, and duty rotations for the Conservatory program.
  • Monitor office and cleaning supply inventories and notify the Conservatory Director when supplies are low.
  • Report maintenance issues related to office equipment to the Conservatory Director.
  • Interact with children in close proximity, providing supervision, guidance, and mentorship as needed.
  • Promote positive behavior in students, enforce appropriate disciplinary guidelines when necessary, and ensure compliance with camp rules and regulations.
  • Actively participate in camp activities, including staff meetings, Bible studies, worship services, night programs, and Evensong.
  • Assist with program activities as assigned by the Conservatory Director and ensure proper coverage and supervision of students at all times.

What we are looking for in you:

  • Knowledge of general office practices, effective record-keeping, and bookkeeping procedures.
  • Proficiency in English, including proper grammar, punctuation, and basic mathematics.
  • Familiarity with Microsoft Word and Excel, with the ability to learn additional software as needed.
  • Strong organizational skills to maintain an efficient filing system and handle multiple responsibilities.
  • Excellent telephone etiquette and the ability to communicate tactfully and professionally.
  • Ability to maintain confidentiality and follow instructions with limited supervision.
  • One year of professional experience preferred, or an equivalent combination of training and experience that provides the required knowledge, skills, and abilities.
  • Knowledge of child and youth behavior and development principles.
  • Strong planning, organizational, and supervisory skills for youth programs.
  • Effective communication and relationship-building skills with students and staff.

Physical Requirements and Working Conditions:

  • Ability to communicate effectively and work collaboratively with students and staff.
  • Visual and auditory abilities to identify safety risks and respond promptly to emergencies.
  • Physical stamina to supervise students and handle emergency situations.
  • Ability to lift up to 50 lbs and perform physical activities such as climbing, bending, and stretching.
  • Comfortable working irregular hours in a camp environment with exposure to sun, heat, and varying conditions.

Additional Information:

Camp Staff Orientation will be held 06/11/2025 – 06/15/2025 and participation is required.

The 2025 summer camp program will be held 6/16/2025 – 07/20/2025. If you are unable to work the entire session, please let us know on your application.
