Position Summary

The Operations Coordinator provides administrative and operational support to help ensure the efficient day-to-day operation of the business. This position serves as a central point of contact for incoming telephone calls, assists with general office administration, supports operational processes, and provides administrative assistance with Human Resources and payroll-related activities.

The ideal candidate is organized, responsive, detail-oriented, and comfortable managing a variety of responsibilities in a fast-paced environment. This position regularly interacts with employees, managers, guests, vendors, and other business partners and is expected to provide professional and timely support.

Essential Duties and Responsibilities
  • Answer incoming telephone calls promptly and professionally, speaking with energy and enthusiasm, promoting our brand and ready to help!
  • While answering incoming telephone calls, you will respond to routine inquiries and direct calls to the appropriate individual or department.
  • Provide general administrative support to Operations and management.
  • Assist with correspondence, reports, spreadsheets, forms, filing, data entry, document preparation, and recordkeeping.
  • Maintain organized electronic and physical files and ensure documents are appropriately retained.
  • Assist managers and employees with routine administrative questions and requests.
  • Support day-to-day operational activities and follow up on outstanding items as directed.
  • Receive, distribute, and process mail, packages, invoices, and other documents as appropriate.
  • Assist with maintaining employee information and completing routine HR administrative tasks.
  • Support new-hire onboarding, including collection and processing of required paperwork and assisting employees with onboarding systems and processes.
  • Assist with timekeeping administration, including reviewing timecards for missing punches or approvals and following up with employees and managers.
  • Assist with gathering and submitting payroll information and documentation according to established deadlines.
  • Route payroll discrepancies, employee-relations matters, benefit questions, and other issues requiring specialized knowledge to Human Resources or Payroll.
  • Assist with employee status changes, personnel documentation, policy acknowledgments, training records, and other HR administrative processes as directed.
  • Maintain confidentiality of employee, payroll, business, and other sensitive information.
  • Assist with special projects and other administrative or operational responsibilities as assigned.
Qualifications
  • High school diploma or equivalent required; additional education or administrative training preferred.
  • One or more years of administrative, office, operations, Human Resources, payroll, or customer-service experience preferred.
  • Experience answering multi-line phones and providing professional telephone support preferred.
  • Comfortable working with computers and learning business systems.
  • Working knowledge of Microsoft Outlook, Word, and Excel.
  • Previous HRIS, payroll, or timekeeping system experience is helpful but not required.
  • Strong organizational and time-management skills.
  • Strong attention to detail and ability to accurately enter and maintain information.
  • Professional written and verbal communication skills.
  • Ability to manage multiple responsibilities and adjust priorities as business needs change.
  • Ability to work independently while recognizing when questions or issues should be escalated.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
Knowledge, Skills and Abilities

The successful candidate must be dependable, organized, approachable, and able to provide a high level of administrative support in a fast-paced environment. The Operations Coordinator must be comfortable interacting with employees, managers, guests, vendors, and other business partners while maintaining professionalism and confidentiality.

The position requires the ability to follow established procedures, manage recurring deadlines, maintain accurate records, identify issues requiring follow-up, and effectively balance operational, administrative, HR, and payroll support responsibilities.

  • Ability to regularly move throughout the workplace to deliver documents, access files and equipment, attend meetings, and support operational activities.
  • Ability to occasionally reach, bend, stoop, or crouch to retrieve files, supplies, or materials.
  • Ability to occasionally lift, carry, push, or pull office supplies, packages, files, or equipment weighing up to 25 pounds.
  • Ability to maintain concentration and attention to detail while managing interruptions, telephone calls, and multiple administrative responsibilities.
