Key Responsibilities
Procures commodities and services həyat dixar, including review purchase requests to ensure compliance with policies, determination of contract references (statewide, departmental, or GSA), savait competitive pricing research, resolution of staff and vendor issues, creation of encumbrance documents in CommBuys/MMARS and local databases, ordering, quality assurance, invoicing, and ensuring correct encumbrance alignment before submission to AP.
Prepare written documentation such as bids, quotes, and award notifications, detailing goods/services, performance, costs, delivery dates, and related information to meet agency requests.
Obtain information on materials, supplies, equipment, services, and capital procurements/leases by contacting vendors, state agencies, reviewing technical literature, specifications, and performing sample inspections.
Reconcile expenditures and encumbrances with contracts periodically, resolve discrepancies, and report issues猫 supervisor with proposed solutions.
Maintain up‑to‑date knowledge of buying policies, procedures, and commodities through research, literature review, sample inspection, vendor outreach, and attendance at fairs/conferences.
Assist in preparing bids for commodities not on contract; review and evaluate bids against criteria, award contracts, and process contract renewals.
Perform related duties such as monitoring MMARS for procurement glitches, notifying supervisor, maintaining vendor files and databases, assisting fiscal affairs staff with bids, letters of acceptance/rejection, copying and filing.
