Job Description

This role provides project administrative services and assists in coordinating the implementation of function-specific projects that support the business strategy. The responsibilities include:

  1. Project Reporting and Review: Draft elements of project review reports and presentations to support the review process.
  2. Project Planning: Support the creation of workstream and project plans that define activities needed to achieve project objectives, adhering to organizational frameworks.
  3. Document Preparation: Prepare complex documents using various applications, and gather/summarize data for reports.
  4. Requirements Management: Elicit, document, analyze, and validate user/project requirements, maintaining documentation and traceability.
  5. Stakeholder Management: Support engagement activities by organizing meetings and events.
  6. Project Risk and Issue Management: Maintain risk registers and issue logs for effective risk management.
  7. Continuous Improvement: Review and suggest improvements in current operations.
  8. Project Scope Definition: Assist in defining project deliverables.
  9. Contract Management: Perform contract management tasks.
  10. Project Closeout and Handover: Draft documentation and training materials for project handover and conduct post-project reviews.
  11. Project Resource Management: Manage resource records, budgets, and utilization forecasts.
  12. Personal Capability Building: Develop technical and process skills through ongoing training and coaching.
Minimum Requirements

IT/Systems:

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint), MS Project, Planview, Outlook, SharePoint, Oracle HRMS, Oracle Financials, Travel link, Procurement system.

Business and Technical Knowledge:

  • Stakeholder management, project budgeting, understanding of project management methodologies (AGILE, Waterfall), research and analysis skills, familiarity with project documentation and tools, meeting coordination, and governance.

Personal Attributes/Skills:

  • Strong communication, planning, attention to detail, problem-solving, adaptability, action orientation, positive attitude, relationship building, teamwork, initiative.

Experience and Qualifications:

  • 3-5 years' experience in a similar role, with relevant tertiary qualification.
