UC Santa Cruz is seeking a Business Operations Supervisor within Student Health Services to oversee daily administrative, fiscal, and facilities operations at the main campus and satellite locations.   • Administer vendor contracts and MOUs with Purchasing and Contracts.
  • Coordinate with the Director on accounting systems for the health center.
  • Serve as primary contact for facility repairs, security, and access control.
  • Lead facility projects with campus planning and status updates.

Department Overview

UC Santa Cruz Student Health Services (SHS) provides comprehensive medical, educational, and psychological services to students. The Primary Care Program offers primary care and same‑day services, supported by on‑site radiology, a clinical laboratory, and a campus pharmacy. Additional services include Counseling, Case Management, Psychiatry, Student Health Outreach and Promotion (SHOP), and other specialty programs.

Job Summary

The Business Operations Supervisor oversees daily administrative, fiscal, and facility operations for Student Health Services, ensuring efficient workflows and compliance with University policies. The incumbent supervises staff, purchasing and financial processes, contract administration, budget reconciliation, and facility operations across the main health center and satellite locations.

Job Duties

Supervisory (50%)

  • Manage daily operations and workflow of the Business Operations department using digital systems and tracking tools.
  • Provide direct supervision to Facility/Financial Assistants, covering recruitment, onboarding, performance management, and professional development.
  • Lead regular team meetings and one‑on‑one sessions to provide guidance and foster collaboration.
  • Design and deliver training programs for staff on new policies and internal procedures.
  • Serve as the primary point of escalation for complex operational issues or conflicts, resolving problems independently or with the Director.

Fiscal (25%)

  • Oversee the full purchasing lifecycle, including vendor contract review and purchase order processing.
  • Ensure financial activities adhere to University fiscal policies and internal controls.
  • Perform monthly reconciliation of financial reports and prepare budget summaries.
  • Administer vendor contracts and memoranda of understanding (MOUs) in coordination with Purchasing and Business Contracts.
  • Collaborate with the Director to design and maintain accounting systems for the health center.

Facilities (25%)

  • Serve as the primary contact for facility repairs, maintenance, and equipment issues.
  • Oversee building security protocols, key issuance, alarm codes, and electronic ID card access.
  • Coordinate custodial services and conduct facility inspections to ensure health and safety standards.
  • Manage office infrastructure, including telecommunications and network service requests.
  • Lead facility‑related projects, liaising with campus planning and communicating status updates.
Required Qualifications
  • Associate’s degree related to the field and/or equivalent experience and training.
  • Strong supervisory principles, including recruitment, onboarding, training, and performance management.
  • Effective conflict resolution and technical guidance skills.
  • Design and oversight of departmental workflows using digital tools.
  • Detailed monthly financial reconciliation and budget summary preparation.
  • Knowledge of facility security protocols and health‑safety standards.
  • Project management skills for facility‑related initiatives.
  • Familiarity with University of California fiscal policies and internal controls.
  • Administrative review of vendor contracts and MOUs with collaboration to Purchasing and Business Contracts.
Special Conditions of Employment
  • Pass a pre‑employment criminal history background check.

  • Complete HIPAA and other required training within 30 days.
  • Complete all required training within specified time frames.
  • Work all scheduled hours on‑site.

  • Adhere to the University of California vaccine policy.
  • Identify as a mandated reporter per the Child Abuse and Neglect Reporting Act (CANRA) and adhere to reporting requirements.
