Position Summary The Business Operations Analyst is a full-time, on-site role based in Birmingham, MI. This role will provide high level business development and administrative support to various firm leaders. This role is critical to the success of our firm and focuses on enhancing sales efforts of our team. This includes digital content creation and communications, business development support, CRM management, event coordination, meeting preparation and marketing support. There is room to grow into increasing project based and analytical work as the successful candidate demonstrates capability and firm needs evolve. The ideal candidate is highly organized, discreet, and comfortable managing competing priorities across multiple senior stakeholders in a fast paced M&A advisory environment.

Key Responsibilities

This role exists so that the supported firm leaders can focus on business development and deal execution at the highest level, without the operational infrastructure behind that effort requiring their day to day involvement. The position is intentionally proactive rather than reactive: the goal is that principals rarely have to ask for something, because it is already done, already tracked, or already flagged. The successful candidate operates with a bias toward action, presenting recommendations with clear deadlines and moving forward in their absence, escalating only where principal judgment, voice, or relationships are genuinely required.

Calendar & Meeting Management

  • Manage complex calendars for leaders, proactively resolving scheduling conflicts
  • Coordinate meeting logistics including video conferencing, in person venues, and materials preparation
  • Ensure meeting prep materials, background, context, and relevant history, are ready in advance of client, prospect, and deal related meetings

Business Development & Pipeline Support

  • Conduct first pass research and screening on inbound leads and contacts
  • Draft concise recommendation briefs to help prioritize outreach and meeting time
  • Support execution of each principal's business development plan, including COI relationship cadence, referral network development, and direct outreach campaigns

CRM & Data Management

  • Maintain accurate, up to date records in DealCloud across COI contacts, prospects, and active relationships, including notes, next steps, and contact frequency
  • Monitor cadence adherence across all relationship categories and flag overdue touchpoints
  • Keep pipeline status, phase, and next milestones current for active mandates

Marketing & Content Support

  • Maintain managing directors/directors social media posting cadence, drafting content for review aligned with firm thought leadership themes
  • Track engagement metrics and report on performance periodically
  • Support research, fact checking, and formatting for whitepapers and other publications
  • Identify potential connections, speaking opportunities, or media opportunities for principal review

Event & Conference Coordination

  • Research and prepare attendee briefs ahead of industry events and conferences
  • Handle event logistics including registration, travel, and accommodations
  • Support real time coordination during events and manage post event follow up, including logging new contacts in DealCloud

Reporting & KPI Tracking

  • Compile and present monthly business development metrics for supported managing directors/directors, including outreach volume, pipeline status, and cadence adherence

Special Projects & Continuous Improvement

  • Take on ad hoc projects as they arise, with opportunity to expand scope based on performance and firm needs
  • Proactively identify and propose process improvements, participating in periodic reviews of role scope and effectiveness

Growth Path

This role is designed to grow into full ownership of business development execution, reporting, marketing support, and process improvement, mirroring the operating model already in place for the President of the practice.

Qualifications

  • 1 to 2 years of experience in an administrative, executive support, business development, or operations role, ideally within financial services, professional services, or a similarly fast paced environment
  • Exceptional written and verbal communication skills
  • High level of discretion in handling confidential and sensitive information
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); CRM experience (DealCloud or similar) a plus
  • Ability to manage and prioritize across multiple senior leaders simultaneously
  • Demonstrated ability to take initiative and grow scope of responsibility over time
  • Interest in or exposure to business development, marketing, or client facing support a plus
  • Experience in financial services, investment banking, or professional services is preferred but not required.
