BUSINESS OPERATIONS ADMINISTRATOR

Job Summary:

This position directly supports business operations across the agency, including facilities management, capital improvements, and inventory oversight. This includes buildings that are owned by the state and rented including (150 N 18th Ave Phoenix AZ; 250 N 17th Ave Phoenix AZ; 501 N 24th Street Phoenix AZ; 4814 S 40th Street Phoenix AZ; 400 W Congress, Suite 116 Tucson AZ). This position will oversee the day-to-day administrative activities, including staff management and process optimization including front desk management, security management, phone trees, signage, and other duties as assigned. This position will manage agency-wide business functions, including copier services, mailroom operations, and auxiliary business support including quote requests.

Job Duties:

Responsibilities include:

  • Oversee day-to-day administrative activities, including staff management and process optimization including front desk management, security management, phone trees, signage, and other duties as assigned.
  • Support business operations across the agency, including facilities management, capital improvements, and inventory oversight.
  • Manage agency-wide business functions, including copier services, mailroom operations, and auxiliary business support including quote requests.
  • Oversee the management and governance of agency email systems, Google Groups, and professional listservs to ensure secure and efficient internal and external communication.
  • Other duties as assigned as related to the position.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • A project management mindset with the ability to be agile and flexible in an evolving environment.
  • Experience in facilities management or large-scale business operations.
  • Familiarity with state-level procurement and administrative requirements.

Skilled in:

  • Strong leadership and mentoring skills, with a proven ability to lead and manage multiple teams.
  • Exceptional written and verbal communication skills.
  • Proficiency in managing Google Workspace enterprise tools (Groups, Gmail, Drive).
  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously.

  • Highly collaborative approach to working across multiple agency divisions.

Selective Preference(s):
  • Bachelor's degree in a related field and 5 plus years of professional work experience. Master's Degree may substitute for 2 years of the experience.

Retirement:

To help you build a financially secure future, the State makes monthly contributions to finance your retirement benefit. The State will contribute to the ASRS in an amount equal to your contribution.
