Job Description
We are seeking a highly versatile and resourceful individual to support the daily operations and strategic growth of our small business. In this dynamic role, you will manage a variety of tasks, tackle multiple objectives, and contribute to our mission of providing high-quality nursery grown native plants for environmental restoration. As our business expands and new team members join, this position offers excellent opportunities for professional growth. Most customer interactions will occur via phone and email communication.
Key Responsibilities:
- Learn and Master Office Operations
- Understand the day-to-day operations of the office, including processes for handling customer interactions.
- Customer Communication Management & Customer Journey Coordination
- Respond to phone calls and emails, address inquiries, and manage customer communication effectively.
- Database Management
- Build, expand, and manage a customer contact database to support marketing efforts.
- Review and update contact information in QuickBooks.
- Assist in preparing the database for a new program.
- Coordinate the customer journey from inquiry to shipping.
- Website & Vendor Coordination
- Coordinate with web designers to update or rebuild the website.
- Maintain current website content.
- Work with outside vendors for marketing or tech projects.
- Marketing System Support
- Research and select a marketing database or CRM system.
- Support system setup and integration with website and email tools.
- Ensure contact info and marketing materials are current and consistent.
- Marketing and Advertising Analysis
- Evaluate and improve marketing efforts to support growth.
Qualifications:
- Office Experience
- 7-10 years of administrative experience; notary public certification or ability to obtain.
- Customer Communication Skills
- Proven ability to manage customer interactions and maintain organized records.
- Software Proficiency
- Proficiency in Microsoft Office Suite and QuickBooks.
- Database Management Experience
- Experience managing customer contact databases for marketing and sales.
- Organizational and Time Management Skills
- Strong skills in organization and time management.
- Communication Abilities
- Excellent verbal and written communication skills.
- Proactive Attitude
- Ability to work independently and collaboratively with a proactive approach.
Compensation and Benefits:
- Full-Time Position: 40 hours/week
- Hourly pay of $25–$35, based on experience
