Reporting to the Director for Student Leadership & Engagement, you will support the financial, administrative, human resources, and operational success of the department. In this highly collaborative role, you will help ensure Student Leadership & Engagement has the resources, processes, and operational support needed to advance student engagement and leadership development initiatives.

Working across finance, human resources, office operations, and campus partnerships, you will partner with professional staff, student employees, university departments, and campus stakeholders to maintain efficient operations and provide the administrative infrastructure needed to support the department’s programs and services.

Key Responsibilities fall within the following functional areas:

Financial & Business Operations
  • Manage budget and accounting records for Student Leadership & Engagement, supporting an annual budget in excess of $1.5 million.
  • Coordinate financial reconciliation and the distribution of appropriations funding to student organizations each semester, totaling nearly $200,000 annually, as approved by Student Government, the Student Body Treasurer, and their advisors.
  • Oversee monthly financial reconciliation, including PCard management, office projects, accounting activities, and cash assets.
  • Manage PCard purchases, Marketplace orders, vouchers, and other purchasing activities in accordance with University policies and procedures.
  • Prepare and submit quarterly financial reports to the division finance office.
  • Manage departmental deposits and maintain accurate financial records.
  • Communicate financial plans, spending guidelines, and budget strategies to the Student Leadership & Engagement team.
  • Assist staff with contract and vendor processes, ensuring appropriate procedures are followed.
  • Provide ongoing financial training and guidance to professional staff on University purchasing, travel, student employment, and budget planning.
Human Resources & Employee Coordination
  • Coordinate required clearances for department staff and student employees.
  • Maintain accurate department rosters and Google Groups to support effective communication and access.
  • Support onboarding and offboarding processes for student and professional staff.
  • Assist with student employee hiring processes, including the annual PEP application process.
  • Communicate HR timelines, requirements, and processes to supervisors.
  • Coordinate with appropriate University partners to support timely completion of employment-related processes.
Office Operations & Administrative Coordination
  • Serve as the primary departmental requester for work orders and coordinate facilities-related needs.
  • Assist with developing and maintaining office operations, procedures, and administrative policies.
  • Support departmental workflows, documentation, and internal reporting processes.
  • Manage department storage facilities and ensure resources are organized and maintained.
  • Serve as the department surplus manager, coordinating the disposition of surplus property in accordance with University procedures.
  • Monitor and maintain office supply inventories to support daily operations.
  • Coordinate facility and operational needs with campus partners, including NC Student Centers and DASA Facilities.

Qualifications

Minimum Education and Experience

Bachelor’s Degree in Business Administration, Public Administration, or related business area; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Other Required Qualifications
  • Manage contracts and accounting functions with progressively responsible experience, including managerial responsibilities, while ensuring accuracy and compliance with applicable policies and procedures.
  • Utilize database management software and standard office applications, including Microsoft Word, Microsoft Excel, and Adobe Acrobat, to support departmental operations while adapting to evolving University technology.
  • Apply knowledge of contract administration to manage contracts, support purchasing activities, and facilitate effective relationships with vendors and University partners.
  • Communicate effectively through clear written, verbal, and interpersonal interactions with faculty, staff, students, vendors, and external stakeholders.
  • Exercise independent judgment, initiative, and organizational and analytical skills to manage multiple priorities, resolve operational needs, and complete responsibilities with minimal supervision.
Preferred Qualifications
  • Experience using Google Mail and PeopleSoft.
  • Three or more years of progressively responsible experience in contract administration and fund management.
  • Experience in office management and/or accounting, preferably in a higher education setting.
