Job summary

San Sebastian Catholic Church in St. Augustine, FL seeks a part-time Business Manager to support the Pastor in planning, directing and coordinating the financial, facilities, and HR operations of the parish and school.

The role focuses on budgeting, reporting, staff supervision, onboarding, background checks, and ensuring compliance with diocesan policies. This 3-day-per-week, hourly position reports to the Pastor and the Parish Administration.

Qualifications

  • BA/BS degree in Business, Finance, Accounting, or related business discipline.
  • Ability to develop and maintain positive relationships with employees at all levels.
  • High proficiency with Microsoft Office products (Word, Excel, PowerPoint, Publisher, Outlook).
  • Practicing Catholic and aligned with Catholic mission preferred.

Responsibilities

  • Ensure sound financial management: budgeting, reporting to parishioners, diocese, and government agencies; oversee fundraising activities.
  • Review budgets and financial reports with pastor, bookkeeper and finance council; liaise with diocese on fiscal matters.

The Business Manager is responsible for supporting the Pastor in planning, directing and coordinating the financial and facilities management, and basic human resources operations of the parish and school. The manager assists the Pastor with the stewardship of the physical, financial, and personnel resources for the parish which will strengthen the Church and give the appropriate administrative foundation to support the pursuit of the parish’s mission, ministry, and growth.

Essential Duties and Responsibilities
Coordination of Parish Ministries and Services
  • Oversee the coordination, collaboration and recruitment of all ministries and services, especially those headed by parishioners and other volunteers.
  • Direct scheduling for all parish activities and ensures that adequate space and materials are available in parish facilities for the delivery of services.
  • Assist the pastor in recruiting, hiring and dismissing employees with the guidance of the diocesan Human Resource Department; maintain an adequate level of knowledge on current employment laws.
  • Supervise all parish employees not directly accountable to the pastor.
  • Updates the parish addendum to the employee handbook in consultation with the pastor and assistance from the diocesan Human Resource Department.
  • Ensure new employees have completed the background clearance, provide orientation subject to the employee handbook, new-hire onboarding, I-9 verification, introductions, and expectations of the workplace.
  • Establish and maintain position descriptions and personnel evaluations for employees.
  • Facilitate communications within parish departments and outside agencies or groups, both civic and religious.
  • Coordinate insurance and other benefit programs of the parish, serve as Family and Medical Leave Administrator and Safe Environment Coordinator.
Administrative Responsibilities
  • Coordinate with staff and volunteers to participate in staff planning and operational meetings; conduct significant dialogue with the pastor so that he is fully apprised of matters being considered and acted on by the parish.
  • Coordinate insurance and other benefit programs of the parish and property.
  • Ensure compliance with the policies, procedures and guidelines of the Protected Self Insurance Program of the Diocese of St. Augustine directed by the Diocesan Risk Manager.
  • Attend diocesan training and workshops conducted by the Office of Human Resources and the Diocesan Fiscal Office.
  • Come prepared to staff meetings and other committee meetings appropriate to the position including Parish and Finance Councils; attend quarterly business manager meetings.
  • Assure that sound financial management is practiced by the parish. This includes development and monitoring of budgets; assurance of timely and accurate reporting to parishioners, the diocese and various government agencies; assurance of proper deposit, disbursement and accounting for all parish community-related funds; and oversight of all major fundraising activities.
  • Seek approval from the Pastor in concert with the policies, procedures, and guidelines set forth by the diocese regarding financial and temporal transactions; ensure compliance with the policies of the diocesan Fiscal Office.
  • Review budget and financial reports in conjunction with the pastor, bookkeeper, and finance council.
  • Act as a liaison on behalf of parish with diocese and other entities regarding fiscal responsibilities.
  • Perform other related duties as assigned by the Pastor.
Knowledge, Skills, and Abilities Required
  • BA/BS degree in Business, Finance, Accounting, or related business discipline from an accredited college.
  • Must have the ability to develop and maintain positive relationships with employees at all levels.
  • Ability to face situations firmly, courteously, tactfully, and with respect for the rights of others.
  • Requires a high level of computer expertise in Microsoft Office products, including Word, Excel, PowerPoint, Publisher and Outlook.
  • Practicing Catholic and registered member of a Catholic parish faith community, preferred.
  • Must have the ability to respect, promote, accommodate, and not be in conflict with the mission, moral and social teachings, doctrines, and laws of the Roman Catholic faith.
  • Must be flexible, innovative in a fast paced, time-critical environment and the ability to work independently.
  • Must be able to organize and prioritize work, be proactive, take initiative, resolve complex problems, follow through, and simultaneously manage multiple priorities.
  • Performs work at a high level of accuracy and attention to detail.
  • Strong interpersonal, written, and verbal communication skills, including ability to produce clear, concise reports and recommendations and make presentations to varied groups.

  • Must have successful experience in a supervisory capacity.
  • Must successfully pass the required fingerprint background check prior to employment and every five years.

Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the general public.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
