Job summary

YMCA of Springfield is seeking a front desk/Member Services staff member to deliver outstanding service to members, guests, and program participants. You will greet members, handle inquiries, process memberships, and keep the facility clean and safe throughout your shift.

As part of a fast-paced team, you will learn procedures for opening/closing, managing desk operations, and communicating program changes while ensuring a welcoming environment for diverse populations.

Qualifications

  • Must be 18 years of age, 21 years preferred.
  • Excellent interpersonal and problem-solving skills.
  • Previous customer service, sales, or related experience.
  • Basic knowledge of computers.
  • Ability to communicate effectively with members, parents, administration, and staff.
  • Ability to learn quickly and perform duties with integrity.

Responsibilities

  • Promote a welcoming environment for members, program participants and staff.
  • Supervise the building by walking assigned areas, including stairs and restrooms.
  • Communicate via telephone, email and in person.
  • Handle safety concerns and incidents, reporting to supervisors as appropriate.
  • Open/close the building and manage closing procedures.
  • Assist with membership sales and tours; build relationships with members.
  • Maintain a clean, organized workspace and handle payments at the desk.

Job description

Overview

Delivers excellent service to all members, guests, and program participants. Responds to member and guest needs, promotes health & wellness, ensures safety of members, carries out policies and procedures as outlined by the YMCA, and maintains cleanliness and organization of the building.

Responsibilities
  • Promotes and foster an environment for both members, program participants and staff where program activities that are culturally relevant, developmentally appropriate, and consistent with YMCA values.
  • Supervise the building by actively walking assigned areas, including stairwells and restrooms.
  • Effectively communicate via telephone, email and in person.
  • Communicate with other staff on duty if issues arise (i.e., safety concern, disciplinary issues, inclement weather).
  • Be actively present in the building, interacting with members and staff, as well as monitoring program and services areas to make sure staff are present for work and performing assigned duties and following applicable polices.
  • Greet each member you see. Welcome them and use their name if known. Make extra attempts to learn their name if it is unknown.
  • Complete cleaning duties as outlined by shift checklist (i.e., re-racking weights, cleaning machines, facility mats, gym equipment, pool decks).
  • Approach discipline problems as the arise from a de-escalation as central to the response and complete proper written documentation.
  • Respond quickly to any emergencies within the building.
  • Report accidents or injuries to your Supervisor or Branch Director as appropriate.
  • Be aware and monitor all activities in the building during your given shift and ensure accurate set up for all parties, classes, events, and programs.
  • Complete end of shift reports, detailing any incidents that occurred.
  • Able to open and/or close the building and be responsible for locking up the facility and completing closing procedures.
  • Communicate program/class changes as they occur by posting signs and speaking with members.
  • Respectfully address any issues with on duty staff and complete proper documentation of issue.
  • Ensure the safety of members while using all areas of the YMCA, as well as by keeping the area clear of any safety hazards (i.e., free weights, broken equipment, towels on pool deck, equipment in gym).
  • Utilize the work order system to report needs of the gym or general use areas. Report broken fitness equipment to Fitness and Wellness Director and pool concerns to Aquatic Director.
  • Track facility usage 2 times per shift on building supervisor checklist.
  • Provides excellent service to members, guests, and program participants in the Y and on the phone, contributing to member retention
  • Conduct interviews and/or tours responsive to the needs of prospective members; sell memberships and programs.
  • Build relationships with members; helps members connect with one another and the YMCA
  • Communicates well with others and is a leader with coworkers
  • Maintain and enforce safety procedures and policy and respond to any and all emergencies
  • Handles and resolves membership concerns and informs supervisor of unusual situations or unresolved issues
  • Apply all YMCA policies and procedures dealing with member services
  • Maintain a clean, organized, and stocked workspace, handle balance and receipt all money handled at the desk, arrive on time, open/close Y facility as scheduled, schedule court reservations and fitness orientations, accept locker requests, issues and tracks equipment, keys, and communications.
  • Additional duties may be assigned at the discretion of your supervisor or in their absence by another facility director.

Child Abuse Policies & Prevention:The YMCA enforces policies to prevent child abuse. Allegations or suspicions are taken seriously and reported to authorities. Procedures include unscheduled visits, open doors for parents, and a code of conduct for staff. We screen carefully to prevent abusers from being hired and provide child abuse prevention training to staff. Employees whofailtosupport these policies will be subject to discipline, up to termination.

  • Ability to physically lead activities in the wellness room areas.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to read, respond to common inquiries or complaints from members, parents, administration, children, and ability to effectively present information to staff, member children and parents.
  • Strong problem-solving skills and the ability to resolve issues as they arise and then complete proper documentation.
  • Have leadership competencies in the identified key areas
  • Ability to learn quickly.
  • Ability to work with integrity, discretion, and a professional approach.
  • Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
  • Ability to complete all required trainings within 60 days of employment, including but not limited to CPR, first aid, Living Our Cause, DCFS Mandated Report, IL Gateway Registry Modules and to maintain these certifications as current as outlined by regulations or requirements.
