American Academy of Pediatrics in Itasca, IL is seeking a facilities coordinator to monitor, maintain and repair building systems while supporting event setups and occupant services. Hybrid work includes 40% in-office time each month.

The role requires a high school diploma (or equivalent) with some mechanical training; 3–6 months of facilities experience is expected. A comprehensive benefits package accompanies the position.

Responsibilities

  • Set up on-site meetings and events per specifications; coordinate with Meetings staff.
  • Serve as primary engineer for on-site weekend meetings and events.
  • Complete on-demand building occupant service requests.
  • Maintain mechanical and equipment rooms clean and orderly.
  • Operate HVAC systems to ensure occupant comfort.
  • Assist with workstation and furniture setup.
  • Monitor building equipment readings via BAS; log events.
  • Maintain the Engineering Logbook.
  • Assist with security access control system.
  • Support housekeeping as required.
  • Assist with Emergency Response Team initiatives.
  • Perform other duties as assigned.

TITLE:
REPORTING RELATIONSHIP:
BASIC FUNCTIONS:

Perform ongoing monitoring, preventive maintenance, and repair of building equipment and systems and respond to building occupant service requests. Prepare event set up for on-site meetings and special events.

DUTIES AND RESPONSIBILITIES:
  • Ensure building facilities are adequately set up on-site meetings and special events, in accordance with meeting specifications. Collaborate with Meetings staff to determine setup needs, turnarounds required, and related timing for each event.
  • Serve as primary engineer for on-site weekend meetings and events.
  • Complete on-demand building occupant service requests as assigned.
  • Maintain mechanical and equipment rooms in a clean and orderly condition.
  • Operate HVAC systems efficiently, ensuring a comfortable environment for building occupants.
  • Assist with constructing and reconfiguring workstations and other furniture.
  • Monitor building equipment settings and readings utilizing the building automation system, recording events if needed.
  • Maintain the Engineering Logbook with entries of all work completed.
  • Assist with maintaining security access control system.
  • Support housekeeping services as required.
  • Assist with Emergency Response Team initiatives as needed.
  • Perform all other duties as assigned.
EDUCATION:

High school diploma or equivalent. Some formal training in operation of mechanical equipment preferred.

EXPERIENCE:

Three to six months’ related facility management experience required.

ESSENTIAL SKILLS:

Must pay close attention to detail, take initiative, be able to manage multiple priorities simultaneously, work both independently and as part of a team, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to fostering a culture where everyone feels valued and respected. Excellent communication and customer service skills essential, as well as a strong mechanical aptitude with the ability and willingness to advance this knowledge through ongoing training. Must be able to lift/carry/move up to 50 lbs., work in a bending or kneeling position and within tight spaces, climb stairs and ladders, work outside in varying weather conditions, and withstand hot and cold temperatures. Some overtime required as well as flexibility to work weekends, holidays, and evenings as scheduled or in response to an emergency.

Hybrid work environment of 40% of work time in the office per month.

A reasonable estimate of the current base pay range for this position is $30.69/hr - $32.40/hr. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, and organizational policies.
