Job summary

GBA is seeking a Building Code Administrative Specialist to support the Building Code Services team in Lenexa, KS. You will review permit applications, coordinate with agencies, and manage documentation and schedules to ensure timely approvals and code compliance.

The role involves data entry, billing coordination, and client communications, with a focus on accuracy, organization, and responsive service in a fast-paced environment.

Qualifications

  • Background in accounting, administrative assistance, permitting, or a similar support role.
  • Experience with permit processing, building code enforcement, municipal administration, or admin support.
  • Familiarity with local building codes, zoning laws, municipalities, and permitting procedures.
  • Experience with municipal building departments or third-party code service providers is a plus.
  • Proficiency in permit management software and related administrative systems.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook.
  • Strong organizational and multitasking skills with the ability to manage multiple permits, deadlines, and client priorities.
  • Comfort adapting to new systems, changing priorities, and unexpected requests or challenges.
  • Excellent verbal and written communication skills with clients, contractors, municipal staff, and internal teams.
  • Ability to read and understand construction documents and site plans at a high level.

Responsibilities

  • Review and process permit applications, ensuring accuracy, completeness, and proper documentation.
  • Communicate with clients, contractors, municipal agencies, and regulatory partners regarding permit requirements, timelines, and deliverables.
  • Track and manage permit status to support timely submissions, approvals, and follow‑up actions.
  • Assist in interpreting and applying local, state, and federal building code requirements at an administrative support level.
  • Attend preliminary plan meetings and project progress meetings to help provide updates and answer permitting logistics questions.
  • Prepare reports, correspondence, and documentation related to permitting, inspections, and code compliance activities.
  • Maintain organized records of permits, reviews, inspections, client communications, and related project documents.
  • Provide customer service support by responding to inquiries regarding permitting processes, submittal requirements, and status updates.
  • Assist with billing and invoicing on a regular basis, as defined by client and project needs.
  • Coordinate company events for client appreciation, staff networking, and business development purposes.
  • Perform other duties as assigned.

We’re looking for a Building Code Administrative Specialist to support our Building Code Services team. Working with the Building Code Services Lead, you’ll assist with permit application reviews, document processing, scheduling coordination, and compliance with applicable building codes, regulations, and municipal requirements. You’ll maintain regular client contact regarding schedules, project status, deliverables, and permitting timelines, and coordinate with governmental agencies, contractors, and other stakeholders to support timely permit approvals and code compliance.


You’ll also provide administrative support through record‑keeping, data entry, reporting, billing coordination, and event coordination. This role requires flexibility, sound judgment, and the ability to adapt to changing priorities, new processes, and unexpected project needs while maintaining accuracy, organization, and a positive customer‑service approach.


What You’ll Do

What You Bring

  • Background in accounting, administrative assistance, permitting, or a similar support role.
  • Previous experience in permit processing, building code enforcement, municipal administration, or administrative support in a related industry preferred.
  • Familiarity with local building codes, zoning laws, municipalities, and permitting procedures preferred.
  • Experience working with municipal building departments or third-party code service providers is a plus.
  • Proficiency in permit management software and related administrative systems.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and related tools.

  • Experience with Autodesk Forma Build preferred.

Physical Requirements

  • Ability to sit for extended periods while working on a computer.
  • Occasional standing, walking, and lifting files or documents up to 20 lbs.
  • Ability to visit job sites when necessary.

Travel

  • Minimal travel required; rare site visits or client meetings may be necessary.
