Qualifications

  • Minimum 3-5 years of accounting and/or bookkeeping experience in progressively responsible positions.
  • Demonstrated knowledge in accounting, bookkeeping, business correspondence, spreadsheet preparation and office practices and procedures.
  • Ability to use sound judgment, analyze information, evaluate situations and recommend solutions.
  • Excellent written and oral communication, with strong organizational and leadership skills.
  • Proficient with Microsoft Office and QuickBooks Accounting or similar systems.

Responsibilities

  • Handle the daily routines of the Jesuit Community’s business office including all financial transactions and bookkeeping.
  • Monitor spending, reconcile expenses in QuickBooks, and produce quarterly financial reports.
  • Responsible for cash control including petty cash, deposits, disbursements, and reconciliations.
  • Process accounts payable and accounts receivable, review bills, prepare checks, and post transactions.
  • Produce quarterly financial statements comparing budget to actual data and analyze variances.
  • Coordinate the annual budget for the Jesuit Community in alignment with the Rector.
  • Reconcile medical bills with insurance explanations and coordinate with insurers and providers.
  • Oversee insurance matters related to autos and general liability; maintain vehicle records.
  • Develop and maintain financial metrics and file Federal/State documents.

Job description

Under general direction, support and perform various accounting, reporting, and financial functions for the Jesuit Community to ensure current and accurate financial reporting and planning. Maintain appropriate financial records to provide to Controller’s Office.

Position Specific Responsibilities/Accountabilities
  • Handle the daily routines of the Jesuit Community’s business office which includes all financial transactions and related bookkeeping procedures as well as the proper maintenance of ledgers and files. Applying Generally Accepted Accounting Principals (GAAP), study and evaluate Jesuit Community internal purchasing and accounting operations as they relate to the university and as established by the Rector of the Jesuit Community. Recommend and/or implement appropriate fiscal controls.

  • Monitor spending, reconcile expenses in QuickBooks for all accounts, and produce quarterly financial reports.

  • Responsible for cash control including petty cash, cash receipts, cash disbursements, bank deposits and bank reconciliations.

  • Responsible for the accounts payable and accounts receivable functions inclusive of reviewing and analyzing bills and invoices, assigning appropriate account numbers, preparing checks and posting transactions.

  • Produce quarterly financial statements comparing budget to actual data, spending and analyzing material variances.

  • Prepare and coordinate the annual budget for the Jesuit Community in accordance with the Rector of the Jesuit Community at LMU and the California Province of the Society of Jesus.

  • Reconcile Community members’ medical bills with insurance explanations; work with insurance companies and doctors’ offices to resolve discrepancies.

  • Oversee of insurance matters related to autos and general liability; maintain automobile records.

  • Develop and maintain financial metrics.

  • Attend to and file Federal and State required documents.

  • Provide ongoing analysis of the budget versus spending.

  • Perform other duties as assigned or requested.

Requisite Qualifications
  • Typically a Bachelor’s Degree in accounting or business or related field or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.

  • Knowledge of Generally Accepted Accounting Principles (GAAP) and best practices in accounting.

  • Minimum 3-5 years of accounting and/or bookkeeping experience in progressively responsible positions. Ability to maintain confidences and confidential information is essential.

  • Demonstrated knowledge in the areas of: accounting, bookkeeping, business correspondence, spreadsheet preparation and office practices and procedures.

  • Ability to use sound judgment, analyze disparate information, evaluate complex and ambiguous situations and recommend solutions.

  • Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports and business correspondence.

  • Highly developed organizational and leadership skills.

  • Demonstrated computer competency and preferably knowledgeable of Microsoft Office, Quick Books Accounting and/or other similar accounting software systems.

Staff Regular

Salary range

$71,100.00 - $88,900.00 Salary commensurate with education and experience.
