Job summary

You will manage employee records, assist with compensation changes, prepare reports, and serve as a resource for employees, managers, and leadership. A two-year degree or equivalent is preferred, with strong communication across teams.

  • Ability to calculate figures such as discounts, interest, commissions, and percentages.

Responsibilities

  • Process employee separations and update systems accordingly.
  • Support payroll activities with accuracy and policy compliance.
  • Complete financial transactions including vouchering and cash receipts.
  • Monitor AR metrics and suggest strategies to improve collections.
  • Evaluate prospective customers per AR and credit guidelines.
  • Manage Purchasing Card program including reconciliation and reporting.
  • Maintain employee records and HR data in systems.
  • Process compensation changes including bonuses and incentives.
  • Prepare reports and presentations as needed.
  • Provide excellent customer service in all interactions.

Job description

We are seeking an Office Administrator to provide administrative, financial, and HR support that keeps our location running smoothly day to day. This is a versatile, high-visibility role that blends operational responsibilities such as payroll support, accounts receivable, purchasing card management, and financial transactions with people-focused work, including new hire onboarding, employee record-keeping, and separation processing.

In this role, you will exercise sound judgment and attention to detail to manage multiple priorities at once, serve as a dependable resource for employees, hiring managers, and leadership, and help ensure accuracy and compliance across a wide range of administrative and financial processes. As a key point of contact for both new and current employees, you will play an important role in supporting a positive, well-organized workplace experience.

Operational Responsibilities
  • Process employee separations, including termination documentation and required system updates.
  • Support payroll activities, ensuring accuracy and policy compliance.
  • Complete financial and administrative transactions in a timely manner, including vouchering and cash receipts.
  • Monitor AR metrics and develop strategies to improve collections and reduce outstanding balances.
  • Evaluate prospective customers in accordance with established AR and credit assessment guidelines.
  • Manage the Purchasing Card (P-Card) program, including reconciliation, compliance, and reporting.
  • Maintain employee personnel records and update job-related information in HR systems.
  • Process employee compensation changes, including bonuses, incentives, and other supplemental payments.
  • Prepare and distribute business correspondence, reports, and presentations as needed.
  • Provide superior customer service in all interactions with customers.
Preboarding & Onboarding
  • Administer new hire onboarding, including pre-employment screening and employment documentation.
  • Track new hire paperwork through to completion and reach out to new hires who are not making sufficient progress.
  • Keep new hires informed before their start date, providing task updates, first-day details, and acting as their point of contact.
  • Deliver a welcoming and informative day-one experience including; leading UniFirst’s orientation presentation, informing new hires of benefit options and deadlines, and ensuring they are set up with all necessary tools and resources.
Management Responsibilities
  • Supervise, coach, and direct office personnel to ensure operational efficiency and adherence to company standards.
Support Responsibilities
  • Provide administrative and operational support to the Location Manager and other location leadership team members.
  • Serve as a primary resource and liaison for employees regarding corporate programs, policies, and processes.
  • Support sales business growth efforts through effective coordination and administrative assistance.
  • Coordinate and facilitate corporate programs and communications at the local level.
  • Build and maintain positive relationships through effective communication with internal and external customers.
Qualifications
  • Two-year degree from an accredited college or university or two-four years related experience and/or training; or equivalent combination of education and experience.
  • Ability to write reports and business correspondence.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to operate computer systems and learn standard software programs, including Microsoft Word, Excel, PowerPoint, and Access, as well as the ABS/AMS client used to manage the customer support database.
  • Strong ability to communicate and present information effectively to varied audiences, including management, clients, and customers.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages.
