Position Announcement
The Box Office Manager reports to the Director/Senior Manager ofPatron Services (or equivalent) and provides leadership forticketing operations and front-line patron services for a mid-sizeuniversity performing arts center serving academic productions,external rentals, and a presented series. This role is a keyoperational partner in ensuring a consistent, high-quality patronexperience and accurate, secure ticketing practices across events.The Box Office Manager is entrusted with confidential and sensitiveinformation (patron data, financial/tender details, internalreporting, and operational communications) and is accountable forbox office readiness, procedure compliance, and staff supportduring on-sales and performance operations. The Box Office Managerhelps maintain ticketing systems, workflows, and reportingpractices aligned with university policy and established internalcontrols. Participates in the recruitment, onboarding, scheduling,and performance feedback processes for student employees andtemporary production staff.
Summary of Responsibilities
- Patron Services & Customer Experience Leadership: Provideday-to-day leadership for patron service delivery at ticket windowsand through phone/email correspondence, ensuring a welcoming,solutions-oriented experience. Resolve patron concerns (exchanges,seating issues, late seating policies, accessibility needs, andrefunds within policy) using sound judgment and professionalism.Support consistent patron communication by helping interpret andenforce house and ticketing policies in coordination with Front ofHouse and other operational partners. Maintain strong workingrelationships with internal departments and external partners asassigned to ensure accurate information flow and a smooth patronexperience across academic, rental, and presentedevents.
- Ticketing Operations & Event Setup Coordination: Processticket sales, exchanges, refunds, discounts, comps, donations (ifapplicable), and subscription/package orders in accordance withpolicies and established procedures. Build and maintain events inthe ticketing system as assigned, including pricing,holds/allocations, discount codes, fees, accessibility seating, andon-sale windows. Coordinate ticketing needs across academicproductions, rentals, and presented events, ensuring ticketingconfiguration aligns with performance requirements, contracts, andpublic-facing communications. Monitor ticketing setup for accuracyand identify issues or inconsistencies requiring correction orescalation.
- Financial Accountability, Cash Handling & EventSettlements: Ensure accurate daily/event reconciliation practices,including cash drawer balancing, settlements, batch closeouts, andrequired documentation. Uphold university policies and internalcontrols related to cash handling, PCI compliance, and securetender management. Identify and elevate discrepancies, documentresolutions, and support compliance with fiscal requirements tiedto ticketing operations. Maintain confidentiality and accuracy inall financial and patron-related handling, reporting, andcommunications.
- Reporting, Records & Ticketing System Stewardship: Createand distribute routine ticketing reports and event summaries(sales, attendance, settlements, and other approved reporting) tointernal stakeholders and authorized external partners as assigned,maintaining confidentiality and data integrity. Maintain accuratepatron records and support database standards, ensuring appropriatehandling of sensitive patron information. Assist with ticketingsystem troubleshooting and coordinate with vendors and/or campuspartners to support reliable system performance, updates, andsecure transaction processing within established escalation paths.Support documentation needs for audits or internal reviews relatedto ticketing activity, reporting, or settlements.
- Staff Training, Supervision & Procedures: Train, schedule,and supervise student employees and part-time/event ticketing staffas assigned to ensure preparedness for on-sales and performanceoperations. Establish, document, and maintain box officeprocedures, quick-reference guides, and customer service standardsto promote consistent service and transaction accuracy. Provideon-the-spot coaching and support during high-volume sales periodsand event rushes to ensure calm, efficient operations andconsistent adherence to policy and procedure.

Qualifications / Licenses / Certifications
High school diploma or equivalent; 1-3 years of customer-facingexperience (ticketing, hospitality, retail, call center, orsimilar)
Preferred Qualifications: Associate's or bachelor's degree (arts administration, business,communications, or related field); performing arts ticketingexperience; experience with a ticketing platform (e.g., E-tix(preferred), AudienceView, Tessitura, Paciolan, Spektrix,Eventbrite, etc.).

Knowledge
- Working knowledge of performing arts ticketing operations,patron service standards, and common box office policies andpractices.
- Knowledge of secure cash handling practices, internal controls,PCI compliance expectations, and confidentialityrequirements.
- Knowledge of operational coordination needs across academicproductions, external rentals, and presented events.
- Knowledge of standard office tools (Google Workspace orMicrosoft Office), spreadsheets, and routine reportingpractices.
