Salary Range Group 4 from $19.64 to $24.63 per hour

Position Purpose: To conscientiously and objectively serve the district and assist the principal in such a capacity as to relieve him/her of paperwork and other encumbrances specifically within the realm of financial bookkeeping.

Responsibilities:

  • Communicates, collaborates, and cooperates with colleagues, supervisors, and students.
  • Receive and properly credit monies from all activities and fundraisers.
  • Collect and keep accurate records of registration and activity fees.
  • Track activity fee payments, update parking permit information, track homecoming shirts, student activities passes and yearbook sales.
  • Process refunds for returns/duplicate payments etc. Request refund checks when applicable.
  • Send in monthly credit card statement/receipts. Re-allocate charges through JP Morgan where applicable.
  • Prepare deposits and take them to the bank.
  • Prepare and send cash receipts summary for each deposit.
  • Process all purchase orders. Educate coaches and advisors on purchase order process. Forward receipts & invoices received to AP dept. Work with vendors on reconciling any open invoices needing to be paid.
  • Process orders for all Amazon, Staples, Business Advantage & other vendors set up with online FPS accounts.
  • Request funds transfers and process journal entries.
  • Prepare ticket boxes, seed money, concessions or fundraising cashboxes and official/worker vouchers for each home event.
  • Prepare 50/50 raffle, deposits proceeds & keep records.
  • Process payment vouchers for officials and workers of home events.
  • Request W9 and direct deposit information from new workers.
  • Work with Activities Secretary and HR on setting up new FPS activity workers
  • Enter in payment vouchers for game workers, officials, and lifeguards
  • Forward payroll additional pay requests
  • Record keeping and disbursement of petty cash.
  • Work with Principals, Dept. Chairs, Coaches and Advisors on building, activity and fundraising accounts. Email budget reports and verify fund availability prior to processing PO's. Work with advisors and coaches on creating a budget/cost analysis for upcoming field trips etc.
  • Request budget revisions, when applicable.
  • Work with Accounting on issuing invoices for lost items/fines.
  • General office duties; assist students, teachers, parents, administrators, guests at the front counter, answer phone.
  • Assist parents with credit card transactions to process payments for lunch, activity fees etc.
  • Work with Booster Club on fundraising accounts as well as approved fundraising requests.
  • Work with Nutrition Services and parents on activity fee waivers
  • NSF checks- review list & contact parent if in receipt of check to be deposited.
  • A key component to successful completion of this job is accuracy.

Minimum Qualifications:

  • High School Diploma or GED
  • Minimum one year of previous office experience

    Preferred Qualifications:

    • Experience working with Google Docs
    • Proficiency in Microsoft Office Suite, notably with Excel
