Overview

The Board of Trustees Office seeks a dynamic and high-performing Board Operations Specialist to provide comprehensive governance support, from maintaining compliance documentation to managing complex logistics. The role collaborates closely with stakeholders across Johns Hopkins and requires a strong commitment to confidentiality in service of the University's mission, sound judgement, attention to detail, and strong communication skills.

Pay and Application Details

Base pay range: $62,900.00/yr - $110,100.00/yr

Responsibilities
  • Governance (30%): Provide administrative and organizational support to the Assistant Secretary and SVP and Secretary with regard to governance documentation and materials, including coordination with stakeholders across Johns Hopkins.
  • JHU Joint Ventures (20%): Support governance needs related to Joint Ventures.
  • Trustee Transitions (10%): Coordinate onboarding for new Trustees (Parts I, II, III) and related paperwork, coordinate details for outgoing Trustees, and assist with the Chair onboarding process.
  • Board Office Management (30%): General management and coordination of board office activities including documentation and process improvements.
  • Grant and Documentation Assistance (10%): Assist with managing requests for Trustee information to support grants and Medicare/Medicaid enrollment and revalidation applications across states.
  • Board and Community Communications (15%): Edit memorial memos and resolutions, update website with meeting summaries, assist with community messages and toppers for Board memos, and oversee development of the annual Handbook and Directory.
  • Board Office Special Requests (5%): Assist in agenda planning and coordinating tours, events, and speaker engagements.
  • Board Meeting Logistics (30%): Coordinate logistics for Board and Committee meetings, dinners, retreats and other events; manage hotel needs and ground transportation; set up meeting notices and responses for quarterly meetings; manage guest lists and audiovisual/room layout needs; work with leadership events leads.
  • Internal Meetings and Events (10%): Plan internal meetings, annual Committee Secretaries Summer meeting, and bi-weekly coordination with teams supporting institutional Boards; maintain regular cadence with Leadership Programs, Development, and Alumni Relations Advisory Board leads.
  • Diligent/Materials (5%): Set up and track Diligent books and materials, under supervision.
  • Other (10%): Edit and track Leadership Briefings, assist with Inaugurations and Professorship Dedications as needed, follow up on Consent Agenda letters, and perform other duties as assigned.
Qualifications
  • Bachelor’s degree.
  • Five years of experience in support of academic, business, research and/or development activities and operations, providing high-level administrative oversight, coordination, and counsel.
  • Additional education may substitute for required experience; additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, as permitted by the Johns Hopkins University equivalency formula.
