Job summary

Jobtailor is seeking an organized Administrative Support specialist to assist the Institutional Biosafety Committee (IBC) in New York. You will handle documentation, deadlines, and logistics for IBC meetings, ensuring NIH guidelines are followed for recombinant or synthetic nucleic acid work.

You will train users, support website and system enhancements, track biosafety training, and coordinate with principal investigators to ensure timely reviews.

Qualifications

• Minimum 1-2 years related work experience.
• Experience in research, regulatory or compliance environment is preferred.
• Excellent communication, customer service and relationship building skills.
• Strong time management, prioritization and computer skills.
• Demonstrated ability to learn quickly and maintain strict confidentiality.
• Effective communication and ability to build and maintain positive relationships with various stakeholders.
• Ability to plan and prioritize multiple tasks to meet commitments aligned with departmental and organizational goals.
• Flexibility to align with shifting demands and changing biosafety circumstances.

Responsibilities

• Provide administrative and organizational support to the IBC.
• Support compliance with NIH guidelines for research involving recombinant or synthetic nucleic acid molecules.
• Serve as a general and technical assistance resource regarding IBC deadlines, meeting dates, registration/protocol status and updates.
• Implement logistics for monthly IBC meetings, including agenda and meeting minutes preparation.
• Train users in the IBC system and assist with website and system enhancements.
• Follow up with principal investigators and reviewers to ensure timely reviews and responses.
• Track user biosafety training and ensure completion by deadlines.
• Assist with IBC protocol management, education and outreach.
• Report to the Senior Manager, Research Compliance (IBC/ESCRO).
