Qualifications

Position Summary

The Billing Operations Specialist is responsible for processing high-volume client invoices, accurately recording payments and deposits, and maintaining timely and accurate billing information. This role requires strong attention to detail, organization, and efficiency, along with the ability to work comfortably with technology and manage multiple priorities in a fast-paced environment. The Billing Operations Specialist will also support additional administrative and operational functions as needed.

Essential Duties and Responsibilities
Billing & Invoicing
  • Process and issue a high volume of client invoices accurately and efficiently.
  • Review verified invoices and supporting billing information prior to processing.
  • Enter and maintain billing information accurately within applicable systems.
  • Ensure invoices are processed according to established policies, procedures, and timelines.
  • Identify and address discrepancies or missing information prior to completing billing transactions.
  • Maintain a high level of accuracy while working efficiently in a high-volume environment.
  • Maintain accurate and up-to-date pipeline, activity tracking, and forecasting within CRM systems.
    Provide regular reporting and insights into leadership on regional performance and market conditions.
Payment & Deposit Processing
  • Process and accurately record client payments and deposits within internal systems.
  • Ensure deposits are posted accurately and timely based on established procedures.
  • Review payment and billing information for accuracy and completeness.
  • Research and resolve discrepancies related to billing or payment information as needed.
  • Maintain accurate records to support billing and financial reporting processes.
Operational & Administrative Support
  • Support additional administrative and operational functions related to IME services as needed.
  • Follow established processes and internal controls to maintain accuracy and compliance.
  • Assist with identifying opportunities to improve billing and administrative workflows.
  • Collaborate with internal teams to resolve billing-related questions and ensure timely processing.
  • Maintain organized and accurate documentation related to billing and payment activities.
  • Take on additional responsibilities and projects as assigned.
Qualifications and Preferred Skills
  • High school diploma or equivalent required; additional education in accounting, finance, business, or a related field is a plus.
  • 1+ years of experience in billing, data entry, administrative operations, customer service, or another high-volume transactional environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to process a high volume of transactions and invoices efficiently.
  • Strong organizational and time management skills with the ability to prioritize competing tasks.
  • Strong computer skills and ability to quickly learn and navigate new systems and technology.
  • Strong written and verbal communication skills.
  • Ability to follow established processes and procedures consistently.
  • Demonstrated ability to work independently while also collaborating effectively with a team.
Nice to have
  • Experience with billing, payment processing, deposit processing, or financial data entry.
  • Experience in a healthcare, medical-legal, insurance, or professional services environment.
