  • Identify missing or incorrect information and communicate corrections to the appropriate staff.
  • Maintain organized and secure deal files and records.
  • Coordinate with lenders, banks, and finance personnel regarding deal documentation or funding.
  • Process paperwork including title, registration, tax, lien, and other documents as applicable.
  • Meet company deadlines for posting and processing deals.

Position Summary

The Deal Poster is responsible for accurately reviewing, posting, and processing vehicle sales deals to ensure all transactions are complete, accurate, properly documented, and in compliance with Company policies and applicable requirements. This position works closely with the Sales Department, Finance Department, Accounting Office, and Management to ensure deals are posted accurately and timely.

Essential Duties and Responsibilities
  • Review completed vehicle sales deals for accuracy, completeness, and required documentation.
  • Verify customer information, vehicle information, pricing, taxes, fees, down payments, trade information, and financing details.
  • Post vehicle deals into the dealership's accounting and/or dealer management system.
  • Verify that all required deal documents and signatures are present before posting.
  • Identify missing, incorrect, or inconsistent information and communicate corrections to the appropriate employee or manager.
  • Ensure deal jackets contain all required documentation and are organized according to Company procedures.
  • Review contracts and supporting documents for accuracy before final processing.
  • Verify funding and financing information when applicable.
  • Coordinate with lenders, banks, finance personnel, and other parties regarding deal documentation or funding requirements.
  • Process paperwork associated with vehicle sales, including title, registration, tax, lien, and other required documents as applicable.
  • Maintain accurate records of all deals posted.
  • Assist with resolving accounting discrepancies, rejected contracts, funding issues, and other deal-related problems.
  • Follow established procedures for cash, checks, down payments, trade-ins, and other transaction-related items.
  • Protect confidential customer and Company information at all times.
  • Maintain organized and secure deal files and records.
  • Communicate effectively with Sales, Finance, Accounting, Management, and other departments.
  • Meet Company deadlines for posting and processing deals.
  • Maintain knowledge of dealership procedures, software, and applicable requirements affecting vehicle transactions.
  • Perform other duties as assigned by Management.
Qualifications
  • High school diploma or equivalent required.
  • Previous dealership, automotive, accounting, finance, or administrative experience preferred.
  • Strong attention to detail and accuracy.
  • Ability to review financial and transaction documents carefully.
  • Strong organizational and time-management skills.
  • Ability to identify errors and discrepancies.
  • Proficiency with computers and Microsoft Office.
  • Ability to learn and use dealership management and accounting software.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Ability to work effectively in a fast-paced dealership environment.
  • Ability to prioritize multiple tasks and meet deadlines.

Physical Requirements

The employee may be required to sit, stand, walk, bend, reach, and use a computer for extended periods. The position may require occasional lifting or carrying of files, documents, or office supplies.
