Job summary

Million Air Dallas is seeking aBilling and Collection Specialist to support charter billing, owner statements, and collections. You will ensure accurate invoicing, verify taxes and fees, and coordinate with aircraft owners. This position involves month-end close support, accounts payable/receivable tasks, and maintaining confidential financial records in a professional office environment.

Qualifications

• Associate degree or higher in Accounting, Finance, or Business required.
• Minimum of three years of billing and collections experience.
• Working knowledge of month-end close, journal entries, and revenue cutoff.
• Experience with Microsoft Office and databases.
• Knowledge in Great Plains Accounting Software preferred.
• Knowledge in JetInsights preferred.
• Aviation, charter, or aircraft management billing experience preferred.
• Strong attention to detail, organizational skills, and aptitude for numbers.
• Strong written and verbal communication skills.
• Ability to maintain the confidentiality of privileged information.

Responsibilities

• Expense and flight log processing and coding to GL.
• Export expenses to accounts payable and investigate missing items.
• Prepare and send charter invoices and owner statements.
• Follow up on past-due receivables and rebill invoices as needed.
• Assist with month-end close and revenue entries.
• Set up and maintain billing accounts; communicate with aircraft owners.
• Correct and rebill invoices and assist with collections.
• Archive prior-year paperwork and meet KPIs.

This role reconciles expenses and flight logs, prepares charter invoices and monthly aircraft owner statements, follows up on past-due receivables, and prepares charter revenue entries. The position also supports month-end close and assists with accounts payable and accounts receivable as needed.Tasks and ResponsibilitiesExpense and Flight Log ProcessingReview and finalize expense and flight log entries in JetInsights.Code expenses accurately to the general ledger.Export expenses to accounts payable.Investigate missing expenses.Charter Billing and Owner StatementsPrepare and create invoices in Great Plains.Verify that taxes, rates, and fees are accurate before invoicing.Compile and bill monthly owner statements.Communicate with aircraft owners and their staff.Set up new accounts and maintain existing accounts in billing systems.Correct and rebill invoices as needed.CollectionsFollow up on and collect past-due charter-related receivables.Month-End ClosingPrepare and post month-end charter and management revenue journal entries, including accruals and cutoff adjustments.Support month-end close and provide billing and revenue details as needed.Records and PerformanceArchive prior-year paperwork.Meet departmental and individual KPIs as assigned.Note: It is not possible to list all required job duties in this description.
