Responsibilities

Job Description

Report to: Special Education Program Director

Department / School: Administration / Bob Hope School / District Wide

Wage / Hour Status / Terms: Non-Exempt / Full Time / 12 Months

Primary Purpose:

Provide clerical services to the special education staff to include performing data entry, organizing, managing, and coordinating required case management documentation of Special Education students.

Qualifications

Education: High school diploma or GED; AA/AS or a minimum of 60 college credit hours preferred.

Special Knowledge / Skills:

  • Special education experience preferred.
  • One or more years of office experience preferred.
  • Strong verbal and written Spanish language skills.
  • Ability to use personal computer and software to develop spreadsheets and databases and do word processing.
  • Proficient keyboarding, file maintenance, multitasking skills.
  • Ability to meet established deadlines.

Experience: No prior experience required.

Major Responsibilities and Duties
  • Assist ARD Facilitator and Special Education department staff to meet departmental needs.
  • Perform a variety of clerical activities, including compiling pertinent data utilizing spreadsheets, word documents, etc.
  • Request student records from previous schools using a variety of methods.
  • Create student audit folders; organize, maintain physical or computerized departmental files and records.
  • Efficiently function in a multi‑task environment and complete work independently.
  • Answer phone, greet and direct visitors, take and relay messages; provide routine information to students, parents, administration, and faculty for special education department.
  • Maintain inventory and order supplies as needed.
  • Assist with health services provided on campus such as vision, hearing, spinal screenings, etc.
  • Establish and maintain open lines of communication by conducting conferences with parents, students, campus directors, and teachers.
  • Maintain a professional relationship with colleagues, students, parents, and community members.
  • Use effective expressive and written communication skills to present information accurately, clearly and professionally.
  • Translate both written and verbal communication from English to Spanish and Spanish to English as needed.
  • Schedule appointments as necessary.
  • Participate in scheduled SPED staff meetings, regular staff meetings, trainings and in‑services as requested.
  • Participate and attend occasional trainings/meetings/conferences after school hours as requested.
  • Adhere to and follow FERPA, HIPAA as well as state and federal regulations.
  • Perform tasks assigned by the Chief Academic Officer.
  • Always maintain confidentiality.
  • Maintains regular attendance and punctuality.
  • Perform other duties as assigned.
Working Conditions

Equipment Used: Computer with appropriate software, printer, calculator, copier, facsimile machine, overhead projector, and other specialized equipment that is particularly unique to the teaching assignment.
