Qualifications

• Bilingual in Japanese and English at business level.
• Experience in sales operations, sales support, procurement, purchasing, order management, or related functions.
• Experience managing quotations, purchase orders, invoices, contracts, and vendor relationships.
• Strong coordination and communication with internal teams, customers, vendors, and distributors.
• Experience working with ERP systems; Navision preferred.
• Strong Excel skills with data analysis abilities.
• Ability to manage multiple priorities, meet deadlines, and maintain accuracy.
• Experience supporting inventory, logistics, warehouse, or supply chain operations is a plus.

Responsibilities

• Oversee sales order lifecycle including quotations, POs, delivery coordination, and invoicing via ERP.
• Prepare renewal quotations for software licenses and maintenance agreements, plus straightforward system integration quotes.
• Generate and process invoices for system integration projects.
• Collaborate with billing to ensure invoice accuracy and support AR activities.
• Provide timely responses to customer inquiries and admin support to sales.
• Manage contract modifications, renewals, terminations, and annual warranty renewals.
• Source quotations and lead-time data from vendors to support Sales and Engineering.
• Process POs by validating specs and pricing, coordinating with stakeholders, obtaining approvals.
• Manage procurement from order to delivery including vendor communication and expediting.
• Verify received goods against POs and resolve discrepancies.
• Process vendor payments and maintain relationships with software/hardware vendors.
• Negotiate pricing, discounts, and terms while leveraging partner incentives to save costs.
• Maintain ERP and Excel-based records; support project-based P&L visualization and reporting.
• Collaborate with Accounting/IT to troubleshoot ERP issues.
• Provide data analyses to support planning and decision-making.
• Oversee warehouse activities including shipping, receiving, and inventory accuracy.
• Participate in KAIZEN and process improvement initiatives.
