Qualifications

  • Minimum 3+ years of experience as medical receptionist/administrative assistant.

Responsibilities

  • Maintain patient accounts by obtaining, recording, and updating demographics and insurance in the EHR system.
  • Schedule appointments and address patient inquiries via various channels.
  • Register and check-in patients in person or via virtual check-in; prepare documents and ensure authorization coverage and payment for visits.
  • Maintain financial records by updating patient charges and providing receipts.
  • Manage insurance claims and ensure accuracy of patient records in the EHR system.
  • Provide telehealth support and assist patients with online platforms and incoming faxes.
  • Notify providers of late arrivals and reschedule as needed.
  • Address patient needs including prescriptions, prior authorizations, and medical record transfers.
  • Ensure a clean, welcoming front office and assist distressed patients as needed.
  • Support patient follow-ups and reminders for preventive care.

We are seeking a highly organized and compassionate Patient Care Coordinator to join our team.

The Bilingual (English/Spanish) Patient Care Coordinator holds a pivotal role in managing both patient care and administrative tasks. Their primary objective is to ensure that patients receive exemplary support and assistance throughout their healthcare journey.

We have full-time and part-time available. Part-time is 20 hours per week, Monday through Friday from 3pm-7pm. Full-time is 40 hours per week, Monday-Friday 8am-4pm.

Responsibilities:

  • Maintain patient accounts by obtaining, recording, and updating patient demographics and insurance information in the EHR system.
  • Schedule appointments and address patient inquiries via various channels.
  • Register and check-in patients in a timely manner through virtual check-in systems or in-person. Prepare necessary documents for the visit and ensure authorization coverage and payment for each visit.
  • Maintain accurate financial records by updating patient financial information, recording, and collecting patient charges, and providing receipts for payments.
  • Manage insurance claims and maintain accuracy of patient records in the Electronic
  • Health Record (EHR) system.
  • Provide support for patients encountering telehealth or technological challenges. Monitor online referral platforms and respond to incoming faxes promptly.
  • Notify providers of patients' late arrival; reschedule and/or make other accommodations when necessary.
  • Address patient needs, including prescription refills, prior authorizations, and medical record transfers.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining a clean and presentable front office and reception area.
  • Helps patients in distress by responding to emergencies.
  • Encourages patient compliance with preventive care by reaching out to patients and reminding them when they are due for follow ups, re-evaluations, etc.

Requirements
  • Must speak English/Spanish
  • High school diploma or equivalent.
  • Completion of a Healthcare Administration certificate program preferred
  • 3+ years of experience working as a medical receptionist/administrative assistant in the healthcare field
  • Proficiency in Word, Excel, and Google Suite.
  • Proficiency in Electronic Health Records (EHR) software.
  • Excellent organizational and time management skills
  • Strong interpersonal communication skills
  • Strong attention to detail and organizational skills.
  • Punctuality and efficiency paired with empathy and interpersonal skills.
