** Position Summary**

The Executive Assistant provides high-level administrative and executive support to the Chief Executive Officer (“CEO”) of Premier Developing Services, Inc. (the “Company”). This position serves as a trusted resource to the CEO and is responsible for managing schedules, communications, meetings, travel, priorities, confidential information, and administrative matters to support the CEO’s effectiveness and the efficient operation of the executive office. The Executive Assistant regularly interacts with Company leadership, employees, clients, business partners, vendors, professional advisors, and other internal and external stakeholders and must demonstrate exceptional professionalism, discretion, organization, judgment, and attention to detail.

** Essential Duties and Res**

** Executive Support**

  • Provide high-level administrative support to the CEO and assist with the coordination of daily priorities and commitments.
  • Manage and maintain the CEO’s calendar, including meetings, appointments, calls, events, and other commitments.
  • Coordinate meetings and ensure the CEO is appropriately prepared with relevant documents, agendas, reports, and background information.
  • Monitor upcoming commitments, deadlines, and priorities and proactively communicate scheduling conflicts or matters requiring attention.
  • Assist the CEO with tracking action items, commitments, and follow-up matters.
  • Prepare, review, organize, and maintain correspondence, reports, presentations, meeting materials, and other executive documents.
  • Draft routine correspondence and communications on behalf of the CEO as directed.
  • Screen and appropriately prioritize incoming communications, requests, and inquiries.
  • Maintain organized executive files, records, contacts, and confidential documentation.

** Meetings, Travel & Coordination**

  • Schedule and coordinate internal and external meetings involving the CEO.
  • Prepare meeting agendas and materials and document or track action items as requested.
  • Coordinate business travel, including transportation, lodging, itineraries, reservations, and related arrangements.
  • Maintain detailed travel itineraries and communicate changes or scheduling requirements.
  • Coordinate executive meetings, Company events, client meetings, business functions, and other activities involving the CEO.
  • Process and maintain documentation related to executive expenses and reimbursements in accordance with Company procedures.

** Communication & Relationship Management**

  • Serve as a professional point of contact between the CEO and employees, clients, business partners, vendors, professional advisors, and other stakeholders.
  • Exercise sound judgment in determining the appropriate handling, prioritization, and escalation of communications and requests.
  • Facilitate timely communication and follow-up between the CEO, Company leadership, and other parties.
  • Maintain professionalism and discretion when handling sensitive business, financial, employee, legal, ownership, or other confidential matters.
  • Represent the CEO and Company professionally in all interactions.

** Administrative & Special Projects**

  • Assist the CEO with special projects, research, presentations, reports, organizational initiatives, and other executive-level assignments.
  • Gather and organize information necessary to support meetings, projects, and business decisions.
  • Coordinate with Company departments to obtain information or facilitate completion of CEO-directed initiatives.
  • Assist with maintaining executive-level contracts, records, correspondence, and other documentation.
  • Anticipate administrative needs and proactively identify opportunities to improve executive organization, communication, and efficiency.
  • Coordinate with the Accounting & Office Manager and other administrative personnel regarding office, operational, or logistical matters affecting the CEO.
  • Maintain appropriate boundaries and confidentiality when handling matters involving Human Resources, Accounting, legal counsel, or other sensitive Company functions.
  • Additional duties and responsibilities may be assigned as business needs require, provided such duties are reasonably related to and within the general scope of this position.

** Required Qualifications**

  • Minimum five (5) years of progressively responsible executive administrative experience, preferably supporting a CEO, President, owner, or other C-suite executive.
  • Demonstrated experience managing complex executive calendars, meetings, travel, correspondence, and competing priorities.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, and ability to effectively use electronic communication, scheduling, and document-management systems.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to anticipate needs, prioritize effectively, and exercise sound independent judgment.
  • Ability to work effectively under pressure and manage multiple priorities and changing deadlines.
  • High degree of professionalism, discretion, reliability, and confidentiality.
  • Ability to interact professionally and confidently with executives, employees, clients, vendors, and outside professionals.
  • Ability to work independently while maintaining effective communication with the CEO and Company leadership.

** Preferred Qualifications**

  • Bachelor’s degree in Business Administration, Communications, Management, or a related field.
  • Previous experience supporting senior leadership within the construction, real estate, development, or related industry.
  • Experience coordinating executive meetings, business travel, Company events, and special projects.
  • Experience working in a privately held or owner-operated business environment.
