Administrative Assistant (Bilingual)

Department: Customer Service

Status: Non-exempt

Employee Classification: Regular Full-time

Reports To: Customer Service Manager

Supervisory Responsibilities: None

Shift: Monday through Friday 8:00am to 5:00pm

Job Summary: The Bilingual Administrative Assistant is a key contributor to ensuring the smooth operation of the front office and daily business functions. This individual serves as the first point of contact for visitors and callers and provides high-level administrative support to Customer Service, Sales, Human Resources, and Executive Management. The ideal candidate will demonstrate good work ethics, professionalism, confidentiality, bilingual proficiency (English/Spanish), and strong proficiency in office software and communication tools.

Essential Functions:

  1. Greet and check in all visitors, following strict access and security protocols.
  2. Answer, screen, and direct incoming calls professionally.
  3. Provide verbal and written translation services (English/Spanish) as needed, including HR-related discussions and general employee communication needs.
  4. Maintain and manage office supply inventory and coordinate maintenance of office equipment.
  5. Support Customer Service with order entry, inventory review and preparation of shipping documents.
  6. Design and edit documents, forms, spreadsheets, and flyers.
  7. Write and design the company newsletter, coordinating with various departments for content.
  8. Coordinate with IT partners on troubleshooting, and technology logistics.
  9. Organize and support internal meetings, including coordinating lunches and materials.
  10. Prepare and distribute mail, packages, and interoffice communications.
  11. Run local errands including daily post office trips.
  12. Participate in special projects or tasks as assigned by management.

Knowledge, Skills, and Abilities:

  1. Minimum of 2 years’ experience in an administrative, receptionist, or customer service support role.
  2. High school diploma or equivalent required; Associate degree or coursework in office administration or related field preferred.
  3. Fluent in English and Spanish, both written and verbal.
  4. Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Publisher, PowerPoint, and Teams.
  5. Competent in Adobe Acrobat Pro (form design and editing).
  6. Ability to maintain strict confidentiality, particularly when handling HR-related functions.
  7. Highly organized with excellent attention to detail and time management skills.
  8. Demonstrated ability to multitask, prioritize, and take initiative in a dynamic office environment.
  9. Professional demeanor with excellent interpersonal and customer service skills.
  10. Demonstrates integrity, accountability, and reliability in all tasks.
  11. Ability to learn new skills and follow directions
  12. At least 18 years of age, able to pass pre-employment criminal background and controlled substance testing
  13. Ability to lift 25 pounds.

Working Conditions/Physical Factors:

  1. Must be able to use normal office equipment (scanner, printer, copier, computer)
  2. Must be able to talk/hear/sit for prolonged periods of time
